Job Title: Workplace Services & Mailroom Coordinator

Location: Hercules, CA ( Onsite)

Pay Rate: Up to $24/hour

Schedule: Monday–Friday, 7:30 AM – 4:00 PM

Duration: 6-month contract (Great potential for extension)

Position Overview

This role supports Workplace Services, Mailroom Operations, and provides occasional receptionist coverage. The individual will help ensure smooth daily operations across the Hercules campus by managing mailroom functions, maintaining breakroom and workplace services supplies, and serving as backup reception support when needed.

 

 

Key Responsibilities

Mailroom & Courier Support (Approx. 60%)

  • Pick up and deliver campus mail across the Hercules site
  • Operate postage meter and UPS label equipment
  • Sort incoming and outgoing mail
  • Assist with shipping and receiving activities
  • Ensure mailroom operations continue uninterrupted during staff absences

Workplace Services Support (Approx. 25–30%)

  • Inventory and maintain coffee, tea, and breakroom supplies
  • Coordinate replenishment with janitorial staff
  • Perform periodic site walks to ensure janitorial and facility standards are met
  • Coordinate and verify conference room setups for accuracy
  • Support landscaping and general workplace service needs as required

Reception Coverage (Occasional)

  • Backfill Building 1000 receptionist during PTO, sick leave, breaks, and lunches
  • Greet and assist visitors and vendors
  • Serve as primary switchboard for incoming calls to corporate staff, technical support, and customer service
  • Assist executive administrative assistants with visitor check-in

 

How You’ll Make an Impact

  • Ensure consistent coverage of the HQ lobby when the main receptionist is unavailable
  • Reduce reliance on security staff for receptionist backup
  • Maintain proper coffee and tea inventory levels
  • Prevent disruptions to mailroom operations
  • Ensure conference rooms are correctly set up and ready for use
  • Support compliance with janitorial and workplace standards

 

 

What You Bring

  • Education: High School Diploma or GED equivalent
  • 3+ years of mailroom and shipping/receiving experience
  • 2 years of receptionist experience or supporting front office/lobby duties as needed coverage.
  • Experience operating postage meters and mail sorting equipment
  • Proficiency with Microsoft Office (Word, Excel, etc.)
  • SAP experience preferred
  • Valid Driver’s License
  • Professional appearance and demeanor
  • Will use personal vehicle to drive within the campus (approximately 1 hour/day)
  • Mileage must be tracked and submitted for reimbursement
  • Motor Vehicle Record (MVR) check required as part of background screening
