We’re looking for a highly organized and dependable People Operations Administrator to support our People team on a part-time basis. This is a flexible, remote role with hours that will fluctuate week to week depending on business activity — you should be comfortable with that variability. The right person is a proactive self-starter who can work independently, stay on top of time-sensitive tasks, and keep things moving without a lot of hand-holding.

 

One important expectation: you’ll need to check in at least once per day on business days to catch anything time-sensitive, even on lighter weeks.

 

This role is expected to remain open as long as the team’s workload supports it, and we’ll be transparent with you about how things are tracking.

 

What You’ll Do

Recruiting Coordination

  • Own all interview scheduling — coordinate across candidates, hiring managers, and interviewers to find times that work
  • Manage candidate logistics: send confirmations, prep instructions, video links, and any other relevant info
  • Keep the recruiting calendar up to date and follow up proactively to avoid scheduling gaps

 

People Team Scheduling & Admin

  • Schedule recurring and one-off meetings for the People team
  • Manage calendar (Outlook) logistics, send invites, and handle rescheduling as needed

 

Onboarding & Offboarding Coordination

  • Own the operational side of new hire onboarding: data entry into HR systems (ADP), sending welcome information, coordinating equipment and access setup
  • Handle offboarding logistics: checklist tracking, sending departure information to exiting employees, and coordinating with relevant teams
  • Order and track new hire swag

 

General People Team Support

  • Take on ad hoc tasks as they come up — this could include anything from tracking a project to drafting a communication or pulling together a report
  • Flag anything that looks like it needs urgent attention

 

What We’re Looking For

  • Prior experience in an HR, recruiting coordination, or administrative support role
  • Exceptional organizational skills — you keep detailed notes, nothing falls through the cracks, and you proactively follow up
  • Strong written communication; you’re comfortable interacting with candidates and employees at all levels
  • Comfortable working in a fast-moving environment where priorities can shift
  • Reliable availability during Pacific Time business hours, with a daily check-in habit
  • Experience with HRIS systems and ATS tools is a plus
  • Self-directed and comfortable working asynchronously across a distributed team

 

What to Expect

  • Variable hours between 10–20 hours/week depending on recruiting activity and business needs
  • Remote work with occasional overlap with the broader People team
  • Transparent communication about workload trends and role continuity
