Summary
We are seeking an experienced Executive Event Specialist to develop and deliver high-touch experiences for executives, strategic customers, and other senior stakeholders.
In this role, you will partner closely with executives, executive sponsors, account leaders, and senior cross-functional stakeholders to define objectives, develop tailored programs, and deliver executive engagements from initial discovery through post-event follow-up. You will also develop repeatable programs-in-a-box that enable regional and account teams to execute consistent executive experiences at scale. The ideal candidate demonstrates exceptional executive presence, judgment, discretion, and the ability to translate evolving business needs into polished, strategic experiences.
What You'll Do
- Manage the onboarding and creation of a renewed speakers bureau
- Serve as the primary event partner to executives, executive sponsors, account leaders, and senior cross-functional stakeholders from initial discovery through post-event follow-up
- Lead upfront consultation to clarify business objectives, audience, desired outcomes, executive roles, content needs, sensitivities, and measures of success
- Translate loosely defined or evolving requests into clear program strategies, formats, agendas, milestones, decision points, and execution plans
- Design and deliver executive briefings, C-level roundtables, executive dinners, strategic meetings, summits, and other high-touch engagements
- Develop executive-ready briefs, agendas, talking points, speaker and attendee profiles, briefing books, run-of-show documents, and concise status updates
- Partner with executive offices, Sales, Customer Success, Product, Marketing, Communications, and subject-matter experts to align content and participation
- Create scalable programs-in-a-box with clear objectives, audience guidance, templates, timelines, budgets, roles, production standards, communication tools, and measurement plans
- Establish intake, prioritization, and governance processes that balance strategic value, executive availability, team capacity, and budget
- Own program budgets, forecasts, scopes, contracting, vendor performance, and reconciliation while maintaining the discretion expected for executive-facing work
- Anticipate protocol, security, privacy, accessibility, travel, and duty-of-care requirements for senior leaders and VIP participants
- Lead onsite execution with a polished executive presence, adapting quickly to schedule changes and resolving issues without disrupting the guest experience
- Capture outcomes, feedback, and follow-up commitments; report on program effectiveness and improve the executive engagement model over time
What You Bring
- 5+ years of progressively responsible corporate event, executive engagement, customer marketing, or experiential marketing experience, including direct work with senior executives
- Exceptional executive presence, judgment, discretion, and written and verbal communication skills
- Experience developing strategic agendas, executive briefings, and high-touch experiences for senior or VIP audiences
- Strong program management skills, including ownership of multiple concurrent engagements, complex dependencies, budgets, vendors, and approval paths
- Ability to influence without authority, navigate competing priorities, and provide thoughtful recommendations to senior stakeholders
- Experience building repeatable toolkits, templates, or programs-in-a-box that enable consistent execution by distributed teams
Bonus Points If You Have
- Experience in B2B technology, enterprise software, or executive programs
- Understanding of strategic-account engagement, customer lifecycle objectives, and executive relationship development
- Experience partnering with executive communications, chiefs of staff, security teams, and protocol or VIP services
Working Expectations
- This is a highly visible temporary assignment requiring rapid trust-building with executives and immediate ownership of active engagements
- The role requires flexibility across time zones and executive schedules, including onsite travel and occasional early mornings, evenings, or weekends
- The individual must handle confidential customer, company, and executive information with exceptional care
