JOB TITLE: Executive Assistant

LOCATION: Remote/Hybrid

TYPE: Part-time/30 hours per week

PAY RATE: $25.00/hr

POSITION OVERVIEW:


We are seeking an experienced and dynamic Executive Assistant to provide high-level support to our CEO. The ideal candidate will have exceptional organizational and communication skills, previous experience supporting C-level executives, and a proactive approach to managing day-to-day responsibilities. This is a unique opportunity to be an integral part of a fast-paced and innovative environment.



KEY RESPONSIBILITIES:


Organization and Efficiency


  • Implement and maintain effective organizational systems for both physical and digital materials.
  • Streamline processes to enhance overall efficiency in the CEO's workflow.
  • Efficiently manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prioritize and coordinate conflicting schedules to ensure optimal use of the CEO's time using MOTION saas.


Event and Meeting Coordination


  • Plan and coordinate both internal and external meetings, conferences, and events.
  • Ensure all necessary materials and information are prepared in advance.
  • Manage scheduling through calendar tools like Calendly and Motion to optimize the CEO's availability.


Social Media Management/Strategy


  • Collaborate with the marketing team to execute and enhance the CEO's social media strategy.
  • Monitor and manage social media accounts and assist in crafting engaging content.


Project Management


  • Proficiently use project management tools such as Slack and Notion to facilitate communication and collaboration within the team.
  • Assist in maintaining project timelines and deadlines.




QUALIFICATIONS:


Executive Skills


  • Proven experience supporting C-level executives.
  • Ability to handle confidential and sensitive information with discretion.


Organizational Skills


  • Exceptional organizational skills with a keen attention to detail.


Project Management Tools


  • Familiarity with project management tools, such as Slack and Notion.


Calendar Tools


  • Proficiency in using calendar tools, including Calendly and Motion.


Communication Skills


  • Excellent written and verbal communication skills.


Proactive Approach


  • Ability to anticipate needs and take proactive measures to address them.


Experience


  • Minimum of 3 years of experience as an Executive Assistant or in a similar role.
