Job Title: Project Coordinator – Data PMO
Function: IT / PMO / Data & Analytics
Position Overview
We are seeking an AI-enabled Project Coordinator to support our Data team and bring greater visibility and transparency to its work. This person will sit between the technical data team and PMO leadership, turning engineering and analytics progress into clear, plain-language status updates the broader organization can act on.
The ideal candidate has supported a data team before and is comfortable with its terminology (pipelines, data models, ingestion, governance, platform migrations). You will translate what the team is doing, why it matters, and where it stands, so leadership no longer has to interpret raw technical updates on their own.
This is a fast-moving environment where priorities and directives shift. We need someone who rolls with change, fills in the blanks without waiting for perfect instructions, and uses AI tools daily to work faster and communicate better.
Key Responsibilities
- Serve as the primary communication bridge between the Data team and PMO leadership, owning a regular cadence of status updates.
- Translate technical data work (engineering, analytics, platform and integration efforts) into concise, plain-language summaries for business and executive audiences.
- Attend Data team standups and working sessions to gather progress, risks, and blockers firsthand, then distill what leadership needs to know.
- Maintain project plans, schedules, RAID logs (Risks, Assumptions, Issues, Dependencies), and status reports across multiple concurrent data initiatives.
- Prepare executive-ready reporting materials, including dashboards, status decks, and one-page summaries.
- Coordinate meetings: scheduling, agendas, minutes, and action-item tracking through to closure.
- Monitor timelines, flag risks or delays early, and escalate to the appropriate data leads or PMO leadership.
- Use AI tools (currently Microsoft Copilot, transitioning to Claude) to draft updates, summarize meetings, organize documentation, and speed up reporting.
- Adapt quickly as priorities, directives, and tools change; fill gaps proactively and keep stakeholders aligned through the shifts.
- Support PMO governance, including reporting cadence, stage gates, and documentation standards, using tools such as Jira, ServiceNow, MS Project, or similar.
Qualifications
- 2–5 years of experience in project coordination, PMO support, or a similar role in an IT or enterprise environment.
-
Required: Experience supporting a data team (data engineering, analytics, BI, or data platform), with working fluency in data terminology.
-
Required: Hands-on, daily use of AI productivity tools (e.g., Copilot, Claude, ChatGPT) for writing, summarizing, and reporting.
- Proven ability to turn technical updates into clear, plain-language communication for non-technical leaders.
- Exposure to modern data platforms such as Databricks, AWS, or SAP is a plus. Tools may change; the ability to understand and communicate the work matters more than any specific platform.
- Experience with project management tools such as Jira, ServiceNow, MS Project, or similar.
- Strong skills in Microsoft Office, particularly Excel and PowerPoint.
- Excellent written and verbal communication skills.
Key Competencies
-
Translator mindset: explains complex technical work simply and accurately.
-
Comfort with ambiguity: stays effective when direction shifts and fills in the blanks without being told.
-
AI-first habits: reaches for AI tools to work faster and raise the quality of communication.
-
Drive for transparency: proactively surfaces progress, risks, and blockers before being asked.
- Strong attention to detail and process discipline.
- Strong interpersonal skills across technical and business teams.
- High accountability and ownership.
