Project Coordinator (Construction & Energy Projects)


Overview

We’re seeking an organized and detail-oriented Assistant Project Coordinator to support ongoing energy infrastructure and distributed generation projects. This position will work closely with Project Managers, Engineers, and Procurement teams to ensure documentation, reporting, and scheduling are completed accurately and on time. It’s a great fit for someone with experience in construction administration or office management who enjoys keeping projects running smoothly behind the scenes.


Key Responsibilities

  • Provide administrative support to Project Managers throughout the project lifecycle, from initiation to close-out.
  • Maintain project documentation including RFIs, submittals, change orders, and meeting minutes.
  • Coordinate internal and external communications between subcontractors, vendors, and clients.
  • Track project schedules, deliverables, and procurement status using company project management software.
  • Assist with document control, ensuring that drawings, contracts, and change requests are properly filed and version-controlled.
  • Support project invoicing, purchase order tracking, and expense reconciliation.
  • Schedule project meetings, site visits, and conference calls; prepare agendas and follow-up action items.
  • Help monitor project progress reports, timelines, and updates for internal reporting.
  • Support onboarding and compliance documentation for subcontractors and vendors.
  • Provide general office support for the construction and project management teams as needed.


Qualifications

  • 2+ years of administrative or project coordination experience, preferably in a construction, renewable energy, or engineering environment.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint); experience with Procore, Smartsheet, or similar tools a plus.
  • Excellent written and verbal communication skills.
  • Ability to work independently while supporting multiple project leads.
  • Associate or Bachelor’s degree preferred, or equivalent work experience.
