Construction Clerk
Location: Field-based role in Minnesota
Start: December, 2025 --> December 2026
Position Summary
The Construction Clerk provides essential administrative and clerical support for pipeline and oil & gas construction projects, working closely with inspection teams to ensure accurate documentation, compliance tracking, and efficient project operations. This role serves as a critical link between field operations and office management.
Key Responsibilities
- Maintain accurate and up-to-date project files, inspection reports, and compliance documentation
- Process and organize daily inspection reports, non-conformance reports, and corrective action records
- Track and file permits, certifications, safety documentation, and regulatory compliance materials
- Prepare and distribute daily reports to project stakeholders and management
- Coordinate scheduling for inspection activities and personnel assignments
- Manage project correspondence, including emails, memos, and official communications
- Assist with timesheet processing and personnel records for field staff
- Handle procurement of office supplies and basic field equipment as needed
- Input inspection data and project information into company databases and tracking systems
- Generate reports and summaries for project progress meetings
- Maintain accurate inventory records of inspection equipment and supplies
- Support quality assurance processes through data verification and record audits
- Serve as primary contact point between field operations and office personnel
- Coordinate with contractors, clients, and regulatory agencies regarding documentation requirements
- Assist in preparation of materials for client meetings and regulatory submissions
- Support field personnel with administrative needs and information requests
Required Qualifications
- High school diploma or equivalent required; associate degree preferred
- 2+ years of administrative or clerical experience, preferably in construction or industrial settings
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational skills with attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to work in field environments and adapt to changing project locations
Preferred Qualifications
- Previous experience in oil & gas, pipeline, or construction industries
- Familiarity with regulatory compliance documentation (DOT, EPA, OSHA)
- Experience with project management software and inspection databases
- Knowledge of construction terminology and processes
- Valid driver's license and reliable transportation
Working Conditions
- Combination of office and field work environments
- May require travel to various project sites
- Occasional overtime and weekend work based on project demands
- Must be able to work in outdoor conditions when supporting field operations
