Site Administrator – Airport Operations


Position Overview

The Site Administrator supports daily office operations, customer service, and financial coordination within a fast-paced airport environment. This role serves as a key point of contact for internal teams and customers, ensuring smooth coordination of work orders, payroll support, and administrative functions while maintaining compliance with company policies and airport security requirements.


Pay:$25 to $32/hr

Contract: 3-6 months (ext. or direct hire poss. depending on business needs and performance)



Key Responsibilities

Office & Operational Support

  • Oversee daily office operations in coordination with the Site Manager
  • Serve as the primary point of contact for customer inquiries and service requests
  • Coordinate and track work orders within the system to ensure timely completion
  • Order and manage office materials and supplies


Customer Service & Coordination

  • Respond to phone inquiries and direct requests appropriately
  • Coordinate customer service calls with field staff
  • Support resolution of customer concerns and service issues


HR & Payroll Support

  • Assist with employee onboarding and orientation, including paperwork, training coordination, and badging
  • Address basic HR-related inquiries and escalate as needed
  • Review timecards, leave balances, and payroll data for accuracy and compliance
  • Handle sensitive employee and financial information with discretion


Financial & Reporting Support

  • Track and analyze spending, billing, and financial data
  • Support reporting activities as directed by the Site Manager


Compliance & Safety

  • Ensure adherence to company policies, safety programs, and required training
  • Maintain eligibility for and compliance with airport security requirements


Required Qualifications

  • High School Diploma or GED equivalent
  • Valid Driver’s License
  • 3–5 years of experience in an office environment with emphasis on:
  • Accounting
  • Payroll
  • Bookkeeping
  • Strong computer skills, including advanced proficiency in Microsoft Excel
  • Excellent communication and interpersonal skills
  • Strong organizational, planning, and multitasking abilities
  • Ability to obtain and maintain airport security clearance (U.S. Citizenship required)
  • Flexibility to work day or night shifts, including weekends and holidays


Preferred Qualifications

  • Experience in a customer service environment
  • Experience in airport or aviation operations
  • Familiarity with work order or maintenance management systems
  • Background in finance or HR functions
  • Strong problem-solving and decision-making skills
  • Experience handling confidential financial and employee data


Schedule & Interview Process

  • Schedule: 7:00 AM – 4:00 PM (Central Time)
  • Interview Process:
  • Initial Microsoft Teams interview
  • Followed by an on-site interview


Work Environment

  • Primarily office-based within an airport setting
  • Regular interaction with:
  • Active airport ramp areas
  • Vehicles and aircraft
  • Outdoor conditions and operational environments


Physical Requirements

  • Ability to sit, stand, and walk for extended periods
  • Frequent use of hands for computer and administrative tasks
  • Ability to lift and/or move up to 20 pounds
  • Good hand-eye coordination and visual acuity (near, distance, and peripheral vision)
