Job Description:
HRU Technical Resources has partnered with a world-famous American manufacturer of guitars, amplifiers, and musical accessories, to hire an Executive Assistant to the Chief Commercial Officer.
This highly visible position will directly support the company's Chief Commercial Officer, who is currently also serving as Interim Chief Executive Officer. The Executive Assistant will serve as the executive’s trusted right hand, providing high-level administrative, operational, analytical, and project support across the company's commercial and executive leadership functions.
Because the executive frequently travels and may work remotely from outside Nashville, the successful candidate must be highly independent and capable of identifying priorities, anticipating needs, and moving work forward without continuous direction or an additional management layer.
The role will manage complex calendars and travel, prepare executive and board-level presentations, coordinate global business activities, track strategic initiatives, and serve as a liaison between the executive office and the company's internal and external stakeholders.
Personality and working-style alignment will be important. The executive is direct, compassionate, decisive, and no-nonsense. The successful candidate must be comfortable with candid communication, clear feedback, high expectations, and frequently changing priorities.
Essential Functions:
Executive and Calendar Support
- Manage a complex and frequently changing executive calendar across multiple countries and time zones.
- Prioritize conflicting meetings, deadlines, requests, and business demands using sound judgment.
- Coordinate domestic and international travel, including detailed itineraries, lodging, transportation, and schedule changes.
- Prepare the executive for meetings by organizing agendas, background information, reports, presentations, and follow-up items.
- Screen and prioritize incoming communications while protecting the executive’s time.
- Manage expense reports, invoices, and budget tracking associated with the executive office.
- Anticipate needs and independently address scheduling, communication, and operational issues.
Meeting and Communication Coordination
- Organize executive and commercial leadership meetings, sales kickoffs, quarterly business reviews, board meetings, offsites, and other high-priority events.
- Coordinate communications and meetings involving company teams and business partners in North America, China, Japan, the Netherlands, and other international locations.
- Draft, edit, and proofread executive correspondence, reports, presentations, and internal communications.
- Track meeting action items, responsibilities, and deadlines, following up with stakeholders to ensure timely completion.
- Serve as a liaison between the executive office and departments including Sales, Marketing, Customer Success, Finance, Retail, and Business Development.
- Coordinate with customers, dealers, distributors, board members, and external business partners.
Presentations, Reporting, and Data Support
- Develop and refine executive-level PowerPoint presentations, board decks, commercial reviews, and strategic business materials.
- Transform commercial information, data, and executive direction into accurate and visually polished presentations.
- Use advanced Microsoft Excel functions, including pivot tables, to organize, analyze, and summarize commercial and operational information.
- Create and maintain reports, trackers, dashboards, and other analytical materials.
- Gather information from multiple stakeholders and consolidate it into clear, executive-ready materials.
Project and Operational Support
- Support special projects, strategic initiatives, and enterprise priorities led by the CCO / Interim CEO.
- Track project timelines, deliverables, decisions, and responsible stakeholders.
- Identify potential delays or missing information and bring issues forward proactively.
- Coordinate commercial go-to-market activities, retail visits, the company's internal education and brand-training program events, department meetings, and team activities.
- Assist with projects that may extend beyond traditional Executive Assistant responsibilities.
- Build strong relationships throughout the company to obtain information, resolve issues, and advance priorities.
Confidentiality and Executive Judgment
- Handle sensitive commercial, financial, personnel, strategic, and board-level information with discretion.
- Exercise sound judgment and make appropriate decisions, frequently with limited direction.
- Represent the CCO / Interim CEO and the company's executive office with professionalism and credibility.
- Recognize urgent or sensitive matters and escalate them appropriately.
Required Skills and Abilities:
- Exceptional organizational and time-management skills with the ability to handle multiple priorities and deadlines.
- Demonstrated ability to work independently while supporting a frequently traveling or remotely located executive.
- Proactive, self-directed approach with the ability to identify what needs to be done without waiting for detailed instructions.
- Advanced Microsoft Excel skills, including pivot tables, reporting, data organization, and analytics.
- Advanced Microsoft PowerPoint skills, including executive presentations and board-level materials.
- Strong proficiency with Outlook, Word, Teams, and Google Workspace.
- Excellent written and verbal communication skills.
- Strong attention to detail, accuracy, and follow-through.
- High degree of professionalism, discretion, emotional intelligence, and executive presence.
- Strong commercial awareness and the ability to understand sales, customer, revenue, and business-performance information.
- Ability to coordinate effectively across international locations and time zones.

Required Education and Experience:
- 5+ years of experience as an Executive Assistant, Executive Administrator, Senior Administrative Partner, or similar executive-support professional.
- Experience directly supporting a C-level executive, president, executive vice president, or senior vice president.
- Experience supporting a commercial, sales, revenue, retail, business development, or customer-focused organization.
- Experience working within a global or international business environment.
- Experience coordinating complex executive calendars and domestic and international travel.
- Demonstrated experience creating executive presentations, commercial reports, and analytical materials.
- Bachelor’s degree or an equivalent combination of education and relevant professional experience.
Preferred Knowledge and Experience:
- Experience supporting a Chief Commercial Officer, Chief Executive Officer, President, or similarly senior leader.
- Experience within consumer products, retail, wholesale, direct-to-consumer, entertainment, music, or lifestyle brands.
- Music-industry experience is a plus but is not required.
- Experience coordinating board materials, executive offsites, sales meetings, or investor-facing communications.
- Familiarity with CRM platforms such as Salesforce or HubSpot.
- Familiarity with project-management platforms such as Asana or Monday.com.
Work Environment / Other Info:
- This will be a 1st (day) shift role (standard typical work hours).
- The role is primarily performed within a professional office environment. It requires frequent use of a computer, telephone, email, calendar, and other office technology. The employee must be able to sit or stand for extended periods during the workday.
- Minimal travel is expected, typically less than 10%. The limited travel that occurs will support executive offsites, industry conferences, board meetings, or other commercial events.
