Warranty Parts Processor

Location: Auburn Hills, MI. 100% onsite

Pay: $25-28/hour

Schedule: Monday–Friday, 6:45 AM – 3:15 PM  

Long term contract to hire


Role Summary

The Warranty Parts Processor is responsible for reviewing, processing, and supporting physical and media warranty parts requests from Canadian Volkswagen and Audi dealers. This role ensures accurate handling, inspection, tracking, reporting, and disposition of warranty parts while serving as a primary point of contact for dealer communications and warranty inquiries. Fluency in French is required to support Canadian dealer operations, with preference for Quebec French.


Key Responsibilities

  • Receive, inspect, process, store, analyze, track, report, and dispose of warranty parts in accordance with Warranty Parts Return Center (WPRC) procedures
  • Communicate with Canadian dealers via email and telephone regarding warranty part requests, discrepancies, and corrective actions
  • Investigate and resolve discrepancies identified during warranty part inspections, ensuring a positive dealer experience
  • Initiate and support claim charge-backs when required following warranty part inspections
  • Oversee procurement of warranty parts requested by the WPRC and ensure proper implementation of charge-backs once claims are paid
  • Store and manage warranty parts following pre-analysis for internal and external stakeholders, including Product Support, Quality Engineering, Suppliers, Manufacturing, and Emissions Laboratory teams
  • Ensure proper disposal or scrapping of warranty parts upon inspection completion or supervisor direction
  • Serve as the primary point of contact for all incoming electronic and phone communications from Canadian dealers to the WPRC
  • Act as the subject matter expert for warranty part return inquiries, supporting Volkswagen and Audi Warranty Helplines and Warranty Support Specialists
  • Monitor WPRC mailboxes and ensure timely dealer responses, maintaining a one-business-day initial response standard
  • Provide training and coaching to Canadian dealers, field staff, and corporate employees on:
  • Warranty appeals processes
  • Submission and re-submission requirements
  • Warranty policy related to parts replacement
  • Collaborate with the Warranty Parts Systems and Dealer Support Supervisor to deliver training and policy guidance
  • Review and take corrective action on error logs, shipping label discrepancies, and scheduled warranty reports


Education & Qualifications

Required

  • High School Diploma or some college coursework
  • French language fluency (Quebec French preferred)
  • Working knowledge of automotive aftersales processes or equivalent experience

Preferred

  • ASE Technician Certification
  • Associate’s Degree or higher


Skills & Experience

  • 3–5 years of experience in automotive service, parts, or warranty operations
  • Warehousing and/or logistics experience
  • Strong understanding of automotive warranty procedures
  • Analytical and problem-solving skills
  • Proficiency in basic computer applications, including Microsoft Office, SAP, and electronic parts catalogs
  • Strong written and verbal communication skills (email and phone)
  • Ability to lift and move automotive parts weighing up to 50 lbs
