Client Overview:

Melanie helps authors with their books in the publishing process. She is looking for an awesome unicorn who can help her with project coordination tasks. 


Client Requirements:

  • Must be able to work 15 hours weekly
  • Must be able to work any 3 hours between 6am and 5pm Mountain Standard Time (US)
  • Must have strong written and verbal communication skills
  • Highly organized, detail-oriented, and proactive
  • Must have customer service experience
  • Experience in project coordination, publishing, content production, or similar roles
  • Has a strong understanding of project workflows and timeline management
  • Must be able to manage multiple priorities and meet deadlines
  • Comfortable working independently and taking ownership of tasks
  • Must have hands-on experience with tools like Smartsheet, Google Drive, and other collaboration platforms
  • Nice-to-Haves:
  • Experience in book publishing or working on long-form content projects is nice to have
  • Familiarity with the self-publishing process, including platforms such as Amazon KDP or similar services is nice to have


Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


Book Project Coordination and Workflow Management:

  • Coordinate and manage multiple book projects across various stages including writing, editing, design, and publishing
  • Maintain project timelines using Smartsheet and ensure all deadlines are consistently met
  • Track deliverables and follow up with internal team members and external contributors as needed
  • Identify bottlenecks or gaps in workflows and proactively ensure projects continue moving forward
  • Email clients, respond to inquiries, and manage back-and-forths accordingly


Content and Asset Management:

  • Gather, organize, and manage content, research materials, and assets using Google Docs and other collaboration tools
  • Put together the chapters to create the manuscript
  • Compile, format, and organize documents and production materials for publishing


Quality Control and Project Oversight:

  • Ensure accuracy, consistency, and quality across all files and deliverables throughout the production process

  • Projects stay on track and deadlines are consistently met across all stages
  • All materials and documents are well-organized, accurate, and easy to access when needed
  • The publishing workflow runs smoothly from manuscript development through to final product delivery
  • Team members feel consistently supported, informed, and aligned throughout each project lifecycle
