Client Overview:

Dana is an amazing entrepreneur who is passionate about empowering women to embrace their health transitions with grace and vitality. She is looking for an equally amazing unicorn who can help her with administrative tasks and customer support. 


Client Requirements:

  • Must be able to work 10 hours weekly, Monday–Friday
  • Must be able to work any consistent 2-hour block from 10am–4pm Pacific Time (US), and must be able to attend meetings with Dana at noon PT as needed
  • Must have strong written and verbal communication
  • Highly organized, proactive, and able to manage multiple priorities independently
  • Must have EXCEPTIONAL attention to detail
  • Must be super tech-savvy and comfortable learning new software platforms
  • Must have experience managing and working with CRMs, automations, and tagging systems. Experience using Simplero, Zapier, and Deadline Funnel is a plus!
  • Must have experience in administrative support


Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


CRM and Technical Support:

  • Maintain and manage the Simplero CRM, including automations, tagging, and list maintenance
  • Troubleshoot and maintain integrations between Simplero, Deadline Funnel, and Zapier
  • Conduct QA testing of updated and newly built systems to ensure all triggers, emails, and tags fire correctly
  • Communicate with tech support to resolve any CRM-related issues
  • Set up monthly live call events in Simplero


Administrative Support:

  • Organize and maintain Dropbox folders and Simplero content library
  • Upload monthly call training recordings into the program
  • Update and maintain online course content


Customer and Inbox Support:

  • Triage and manage the shared inbox in Missive daily
  • Draft and manage email communications, flag important messages for Dana
  • Handle client tech support issues (login assistance, finding resources, resolving technical questions)
  • Manage customer onboarding processes, ensuring automations and tags for new clients are correctly set up
  • Post weekly community updates and respond to DIY course questions
  • Track client or lead questions and comments and flag for Dana as needed

Digital Asset Management:

  • Organize and manage digital assets for future projects within Simplero library and Dropbox


Media and PR Support:

  • Pitch Dana for podcast and interview opportunities using provided templates if you have extra time
  • Send professional cold emails and track outreach
