Client Overview:

Meghann, one of our first clients, is looking to add a tech-savvy virtual assistant to their team.


Client Requirements:

  • Must be able to work 7am-11am Mountain Time (US)
  • Must be able to work 20 hours weekly
  • Must have experience as a Virtual Assistant or any similar role
  • Must have expertise and working knowledge in Kajabi and ActiveCampaign
  • Must be highly detail-oriented, adaptable, and able to manage multiple tasks simultaneously
  • Must have strong written communication skills with the ability to craft professional emails
  • Must be super organized 
  • Must be tech-savvy
  • Must have a strong understanding of AI tools for efficiency and automation


Nice to Have:

  • Experience with event coordination and online community management
  • Expertise in Zapier and Stripe


Software tools used by the client:

  • Google Suite
  • Kajabi
  • ActiveCampaign
  • Voxer
  • Canva
  • Monday.com
  • ChatGPT
  • Zapier (nice to have)
  • Stripe (nice to have)


Responsibilities/Tasks:


Core Priorities:


Platform and Event Setup:

  • Setting up registration and checkout pages in Kajabi
  • Managing ActiveCampaign connections and ensuring everything syncs with Stripe
  • Zapping registrations from Kajabi/Stripe checkouts into the correct Google Sheets
  • Setting up email sequences for each event (templates and contents will be provided)
  • Designing email header graphics and maintaining brand consistency (templates will be provided)
  • Updating Testimonials, Media Kit, Sponsorship sales pages, and other pages on Kajabi website
  • Maintaining and updating main pages, event pages, and internal membership site and contents through Kajabi
  • Setting up event confirmations, reminders, and promotional emails


Administrative Tasks:

  • Duplicating and organizing registration sheets and Monday boards for new events
  • Maintaining team spreadsheets and project tracking tools
  • Attending weekly check-ins and strategy meetings, as needed
  • Researching and creating automations where possible to create efficiencies in this role and the company


Nice to have and can be developed over time:

  • Communicating with members as needed
  • Creating checkout pages and coupons in Stripe as needed (you will be following processes for this)
  • Duplicating and updating Zapier automations per event (templates will be provided)
  • Creating marketing materials for in-person events (templates will be provided)
