Client Overview:

Dr. Pérez is a therapist. She is looking for an amazing unicorn to take over administrative tasks so she can stay in her zone of genius!


Client Requirements:

  • Must be able to work any 4-hour block between 9am-5pm Central Time (US) Monday-Friday
  • Must be able to work 20 hours weekly
  • Must have experience with administrative assistance or any similar role
  • Must have experience with WordPress and Elementor and be comfortable updating plugins, pages, and content within CMS systems
  • Must be proficient with Canva and design
  • Must have EXCELLENT written and verbal communication skills
  • Must have EXCELLENT attention to detail
  • Must be super organized 
  • Nice to have: Bachelor’s degree in Psychology
  • Nice to have: SEO and Google Business Experience
  • Nice to have: EHR experience
  • Nice to have: Content Publishing


Software tools used by the client:

  • Google Suite
  • Canva
  • WordPress and Elementor
  • ChatGPT (basic understanding and familiarity of ChatGPT)
  • Google Business
  • Blueprint
  • Simple Practice EHR
  • Excel


Responsibilities/Tasks:



Administrative Support (You will follow processes for these tasks, and the client is willing to train you):

  • Conduct twice-a-week audits of staff documentation using an existing Excel tracker
  • Verify that therapists have completed required notes in Simple Practice EHR
  • Mark incomplete or missing items with an “X” and communicate findings to supervisors
  • Provide general administrative assistance as needed
  • Assist in reaching out to schools
  • Help draft and create new contracts as needed, using existing templates or guidance


Website Maintenance (WordPress + Elementor):

  • Monitor plugins and ensure all updates are completed in a timely manner
  • Update staff bios: duplicate existing bio pages, replace images, and generate new copy using provided templates and ChatGPT
  • Publish blogs: duplicate a blog post template, paste new content, and select an appropriate stock image
  • Link published blogs to Google Business to support SEO and visibility


Canva & Presentation Support:

  • Upload outlines and use ChatGPT within Canva to help create presentations
