Client Overview:
Darla is a super amazing coach and she is looking for an awesome unicorn who can help her with executive, administrative, and project management tasks.
Client Requirements:
- Must be able to work 20 hours weekly, with the potential to increase in hours if everything goes well
- Must be able to work either 7am-11am Mountain Time (US) or 3pm-7pm Mountain Time (US)
- Must have strong written and verbal communication
- Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
- Must be tech-savvy and can easily learn new systems including AI
- Must be comfortable receiving notes from Darla at all hours and being able to process them on their schedule. (In Darla’s ideal world she sends a voice memo as she thinks of something <3)
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Executive & Calendar Management:
- Manage Darla’s calendar according to established calendar principles
- Protect Darla’s focused work blocks and proactive hold space for deep work
- Manage Darla’s availability in Calendly
- Align program calls with Darla’s business calendar, launches, retreats, and travel
- Create detailed session schedules for Darla’s group coaching programs
- Manage Darla’s personal inbox
- Develop a response database and learn client’s voice for emails
- Communicate daily/weekly inbox updates
- Flag priority items and handle communications on her behalf
- Manage post-event follow ups with the people Darla meets
- Support personal financial organization through inbox management
Operations and Project Support:
- Document and create SOPs for recurring processes
- Help Darla identify tasks that can be fully delegated
- Follow up with contractors on Darla’s behalf
- Follow up with team members on deliverables
- Ensure marketing calendar stays current
- Ensure team adherence to SOPs during launches
- Assist the team in identifying top leads for Darla’s follow up
- Collaborate with the team to compile weekly and monthly metrics for Darla’s review
- Assist Darla and the accounting team with categorizing expenses by project
Research and Logistics Coordination:
- Research travel options for Darla (flights, restaurants, etc.)
- Research podcast/summit speaking opportunities for Darla
- Research and source retreat venue options including:
- Communicating with venues
- Comparing contract terms
- Negotiating based on Darla’s guidance
- Tracking payment and settling bills for the retreat
Content & Marketing Support:
- Audit the website (WordPress) and social media to ensure that what the company is featuring is a match to what is happening in the marketing calendar
- Transcribe Darla’s audio podcast episodes, turn them into articles for LinkedIn and Substack (with the help of AI), and coordinate with Darla’s social media manager for distribution
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):
These tasks are valuable but can be trained on the job:
- Assist with Podcast Production, including:
- Editing video and audio files
- Creating show notes using templates
- Uploading and formatting episodes on WordPress
- Creating graphics from templates
- Communicating with podcast guests
- Collaborating with Darla’s social media manager for episode promotion
- Learn Facebook Ads
- Pull contact lists and send broadcast emails through ActiveCampaign (client is willing to train you)

- At any time, you can check out the other clients we have and ask to take Paid Tests for them, as well!
