About the Role: 

We are looking for someone to help keep our client outreach, lead, and social media management organized and running smoothly. In this role, you’ll filter and track new leads, manage proposals, and help prepare for speaking engagements and events—including coordinating schedules, materials, and follow-ups. You’ll update our CRM with client information and keep communication flowing with timely responses. You’ll also assist with calendar and email management, making sure meetings are scheduled and messages don’t get missed. Requirements:

  • Able to work Monday-Friday, 8am-5pm ET (40 hours/week).
  • Experience with marketing assistance, social media management, lead management, or any similar role
  • Experience with CRM management (we use Odoo)
  • EXCELLENT written and verbal communication.
  • Great attention to detail and organization.

What You’ll Do:

Marketing & Lead Management

  • Draft, schedule, and post engaging content for LinkedIn/Facebook/Instagram to boost brand and event visibility, collaborating with leadership on campaigns.
  • Capture, qualify, and manage leads in Odoo CRM, ensuring all event and inbound leads are entered, tracked, and logged promptly.
  • Manage proposal workflows: ensure proposal documents are drafted and delivered on time, track responses, and follow up.
  • Prepare and coordinate logistics and communications for speaking events, webinars, and key engagements, including attendee outreach, materials, and post-event follow-ups.
  • Track, report, and optimize performance for social campaigns and events using tracker sheets and CRM metrics.


CRM & Communications

  • Oversee all aspects of CRM management (Odoo), including client database updates and timely notifications to sales and marketing teams.
  • Respond to LinkedIn messages, manage meeting requests, and handle bookings with Calendly and Google Calendar.
  • Grow the CEO’s LinkedIn network by sending connection requests and following up on interactions.


Calendar & Email Support

  • Manage the CEO’s executive calendar and email inbox: schedule meetings, prepare bios/itineraries, and support communications as needed.
  • Provide support for email campaigns, lead follow-ups, and weekly reporting summaries.
