Client Overview:

Dafne, one of our clients, is looking to add an amazing Executive Assistant to her team!


Client Requirements:

  • Must be able to work 40 hours weekly
  • Must be able to work 9am - 5pm Eastern Time (US)
  • Must have strong written and verbal communication 
  • Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
  • Comfortable taking initiative and making recommendations
  • Interested in long-term growth with one company
  • Females are preferred, but males are welcome to apply, too! :)


Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


Executive Support:

  • Triage emails, draft responses, and flag items needing Dafne’s attention (Dafne uses Google Suite)
  • Manage Dafne’s Google calendar including: 
  • Scheduling requests
  • Coordinating meetings
  • Managing Calendly/booking links
  • Rescheduling conflicts
  • Protecting time blocks
  • Support post-sales call tasks, including:
  • Sending recap emails
  • Attaching 1-pages/case studies
  • Making intro connections as specified by Dafne
  • Updating the CRM (Monday.com)
  • Scheduling next steps
  • Executing bullet points and voice memos sent by Dafne
  • Comment and engage on LinkedIn posts
  • Monitor LinkedIn inbox
  • Schedule and post contents created by Dafne on LinkedIn
  • Send outreach messages
  • Follow up on any pending new partner conversations
  • Coordinate travel logistics for conferences for Dafne


Event Coordination Support (Quarterly):

  • Research venues and menus options and present to Dafne for decision
  • Coordinate with co-hosts on logistics
  • Send invitations from CEO’s list
  • Manage RSVPs
  • Send event recaps
  • Book follow-up meetings with attendees


Administrative Support (You will be trained on these tasks)

  • Research and add new targets to partner lists based on a criteria provided by Dafne 
  • Support HR onboarding including: 
  • Managing the systems access checklist
  • Scheduling onboarding meetings
  • Tracking completion
  • Send referral partner gifts, thank you cards, employee birthday/anniversary gifts as directed by Dafne
  • Send periodic check-in emails to referral partners on Dafne’s behalf
  • Enter weekly and monthly sales metrics into the tracking system


Nice-to-Have Experience (Responsibilities You Can Learn Over Time):


These tasks are valuable but can be trained on the job:


  • Process client invoices
  • Maintain master tracker for:
  • Insurance renewals
  • Software subscriptions
  • Vendor deadlines
  • Pull date and prepare draft report for monthly IT review
  • Draft case studies from project date and client results provided by Dafne
  • Format newsletters in MailChimp
