Client Overview:
Kelly is an amazing entrepreneur, and she is looking for a tech-savvy unicorn who KNOWS HubSpot, and can help manage and optimize the customer journey for their Service Provider and Financial Partner pipelines.
Client Requirements:
- Must be able to work 7am-3pm Mountain Time (US)
- Must be able to work 40 hours weekly
- Must have experience in customer success, sales operations, or CRM-based project management (preferably in a B2B SaaS or service-oriented environment).
- Must have proficiency in HubSpot CRM, including workflows, reporting, pipeline management, and integrations.
- Must have strong communication and organizational skills with a meticulous attention to detail.
- Must have project management skills
- Must have experience supporting cross-functional teams and a comfort level working across Sales, Product, and Customer Experience departments.
- Must have the ability to analyze and interpret data to drive process improvements and strategic decisions.
- Must be a self-starter with a mindset for continuous improvement and proactive problem-solving.
- Must be able to work independently and collaboratively in a fast-paced environment, managing multiple tasks and priorities simultaneously.
- Must be willing to learn and adapt to new technologies, processes, and procedures.
- Must be able to develop new processes and operational systems
Software tools used by the client:
Responsibilities/Tasks:
Service Provider Pipeline Management:
- Execute outreach sequences to prospective Service Providers via HubSpot
- Maintain sales and pipeline hygiene:
- Update deal stages and documentation
- Monitor and move prospects through pipeline stages
- Identify and troubleshoot stalls in info sessions or applications
- Support the vetting and membership process:
- Review Service Provider applications and manage follow-up communication
- Verify licenses/certifications (with guidance and resources)
- Update vetting SOPs and maintain accurate records
- Pre-onboarding tasks:
- Use ChatGPT and application data to create/refine SP profiles
- Ensure SPs receive login credentials and complete onboarding documentation
- Transition approved SPs to the Onboarding Engagement Manager.
Financial Partner Success Support
- Maintain Financial Partner pipeline in collaboration with the Sales Manager
- Support automation for outreach and engagement efforts
- Track Financial Partner journey stages and recommend improvements for scalability and retention
Customer Success & Operational Support
- Serve as a day-to-day contact for customer success inquiries
- Troubleshoot HubSpot workflows, integrations, and automations
- Create and maintain internal knowledge base documentation and onboarding resources
- Identify areas for process improvement and automation.
Metrics & Reporting
- Own and deliver weekly reporting for the full Service Provider funnel
- Analyze conversion rates, drop-off points, and operational bottlenecks
- Provide insights and recommendations for improving the customer journey
