Client Overview:

Steph and Andrea are brokers and they are looking for an amazing unicorn to take over administrative tasks so they can do what they do best!


Client Requirements:

  • Must be able to work 12pm-2pm Mountain Time (US) (preferred) OR 10am-12pm Mountain Time (US) 
  • Must be able to work 10 hours weekly
  • Must have experience with administrative assistance or any similar role
  • Must have experience with CRM management (GoHighLevel is a plus)
  • Must have experience with social media management
  • Must have EXCELLENT written and verbal communication skills
  • Must have EXCELLENT attention to detail
  • Must be super organized 
  • Detail-oriented with a commitment to quality control
  • Must be proactive and be comfortable suggesting improvements and new approaches
  • Nice to have: someone with experience with GoHighLevel 
  • Must be female


Software tools used by the client:

  • Google Suite
  • Canva
  • Scribe
  • Calendly
  • CRM (GoHighLevel)


Responsibilities/Tasks:

Executive and Administrative Support (Priority)

  • Manage multiple email accounts by setting up rules, filters, habits, and templates
  • Support with drafting responses, prioritization, and coming up with templated responses 
  • Assist with migrating calendar systems from Outlook to Google
  • Set up and manage “book with me” appointment links with rules
  • Schedule client meetings, follow-ups, and personal appointments
  • Assist in building and documenting SOPs using tools like Scribe and Loom
  • Track KPIs and provide reporting to ensure accountability and performance
  • Book travel arrangements, manage personal scheduling, and assist with special projects
  • Provide reminders for important dates and client-related events


Light Social Media & Marketing Support (Priority)

  • Create evergreen content templates in Canva
  • Repurpose and post content across multiple platforms (Instagram, Facebook, LinkedIn)
  • Manage social media compliance by auditing past and future posts
  • Support video content creation, editing, and repurposing for multi-platform use
  • Assist with creating newsletter templates
  • Create content for campaigns and templates


CRM and Database Management (Priority)

  • Enter borrower data into CRM
  • Contact past clients for annual reviews
  • Manage CRM
  • Manage birthdays & annual loan anniversaries
  • Maintain data consistency across CRM and other business platforms


CRM & Systems Management (Nice to have and can be developed overtime)

  • Build out CRM campaigns, templates, and automations within Go High Level (GHL)
  • Integrate CRM with website and potentially loan origination software in the future


Farming & Client Engagement (Nice to have and can be developed overtime)

  • Research and identify target demographics for farming activities
  • Support client touchpoints such as pop-bys, birthdays, anniversaries, and annual reviews
