Client Overview:
Kenny is the Chief Marketing Officer, and Liv is the Marketing Lead for a huge company. They are looking for an amazing unicorn to help with podcast production, events assistance, and project coordination.
Client Requirements:
- Must be able to work 9am-5pm Eastern Time (US)
- Must be able to work 40 hours weekly
- Strong written and verbal communication
- Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently.
- Must be able to manage their time effectively
- Must be able to follow instructions well
- Must be creative adjacent (if you have creative capabilities, then that would be amazing)
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Podcast Production & Management
- Coordinate end-to-end podcast production workflows, ensuring timelines and deliverables are met
- Conduct episode and topic research to support podcast planning
- Manage guest outreach, follow-ups, and scheduling for podcast recordings
- Coordinate podcast recording schedules and production calendars using Microsoft 365, Microsoft Teams, and SharePoint
- Support the production and organization of all podcast-related outputs and materials
- Ensure all podcast-related tasks are tracked, updated, and completed on time
Project & Production Coordination
- Act as a project manager / production assistant across podcast and marketing initiatives
- Track tasks, timelines, and dependencies using Microsoft 365, Microsoft Teams, and SharePoint
- Facilitate and support production and project-related meetings (scheduling, notes, follow-ups)
- Serve as the “project coordination cop,” ensuring accountability across contributors
- Keep visibility on all moving parts and proactively flag risks or delays
- Maintain clear documentation, task lists, and status updates for leadership
Event Assistance
- Provide operational and administrative support for events tied to marketing or podcast initiatives
- Assist with planning, coordination, and execution tasks related to events
- Track event-related deliverables and timelines to ensure smooth execution
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):
These tasks are valuable but can be trained on the job:
- Assist in writing the blog and social media content
- Support social media content scheduling and coordination using tools such as HootSuite
- Assist with light content production workflows using tools like Canva and Adobe Suite
- Support creative asset coordination and review for podcast and marketing materials
- Assist with managing additional content outputs derived from podcast episodes
- Utilize and manage AI engines as needed for efficiency purposes
- Provide support for additional marketing initiatives as the role evolves
