Client Overview:
Sarah is a marketing professional and she is looking for an incredible Podcast Pitching and Media Outreach VA who can help them secure high quality, high-fit podcast interviews.
Client Requirements:
- Must be able to work 40 hours weekly
- Must be able to work 9am to 5pm Eastern Time (US)
- Must have strong written and verbal communication
- Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
- Strong judgment and critical thinking to evaluate podcast fit and opportunities
- Ability to clearly explain reasoning behind recommendations and outreach decisions
- Detail-oriented follow-through to manage outreach, follow-ups, confirmations, and assets
- Professional client communication and responsiveness
- Someone with experience working with PR companies or book coaches before is nice to have!
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Podcast Research and Targeting:
- Research and identify podcasts that are a strategic fit for each author’s topic, positioning, and target audience
- Prioritize high-fit shows over high-volume lists; focus on quality placements, not quantity
- Document match rationale for each recommended podcast (examples: audience relevance, episode themes, host interests, typical guest profile, angle alignment).
- Use Podmatch, Podchaser, Author Launch Kit, and other podcast databases to find shows and accurate contact information (client is willing to train)
- Add qualified new contacts to the Book Launchers Media CRM (client is willing to train
Pitch Development and Outreach
- Write tailored pitches that position the author as a compelling guest and connect their expertise to the show’s audience.
- Manage outreach from initial pitch to follow-ups and securing interviews
- Use AI tools responsibly to draft show-specific pitches aligned with the author’s voice
Interview Coordination & Client Communication
- Communicate directly with authors on opportunities and next steps
- Coordinate scheduling between hosts and clients
- Ensure hosts receive all needed assets (bio, headshot, book links, talking points, etc.)
- Send media confirmation for each secured interview
- Ensure each interview is fully coordinated and runs smoothly (no missing details, no confusion, no dropped balls).
Tracking, Reporting & Internal Systems
- Track all pitching activity: outgoing pitches, follow-ups, contact notes, secured interviews, and confirmations
- Provide weekly status updates to clients and team
- Create monthly reports on pitching efforts, media wins, and progress
- Input marketing wins into Airtable and Process Street daily (client is willing to train)
- Maintain organized records in the Book Launchers Media CRM (client is willing to train)
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):

- Repurpose podcast interviews into social media graphics, reels, clips, or blog posts
- Research paid and unpaid speaking opportunities aligned with each author’s target audience (conferences, associations, companies, events).
- Identify decision-makers and gather accurate contact information
- Draft tailored pitches for speaking engagements
- Apply podcast pitching strategies to live events and speaking opportunities
