Client Overview:
Allison, one of our clients, is looking to add an awesome unicorn who would directly support her billing manager.
Client Requirements:
- Must be able to work 20 hours weekly, with the potential for increased hours over time
- Must be able to work from 10am to 2pm Mountain Time (US)
- Must have strong written and verbal communication
- Must have excellent English grammar
- Intermediate tech skills; comfortable learning and navigating EHR and billing systems
- Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
- Must be highly dependable, highly motivated, trustworthy, proactive, solution-oriented, and communicative
- Must be able to work effectively with individuals experiencing mental illness with compassion and professionalism
- A collaborative team player who communicates effectively
- Must be comfortable asking questions when clarification is needed
- Must have intermediate technical skills and be comfortable learning and navigating EHR and billing systems
- Must have a strong work ethic and ability to manage responsibilities independently
- Must demonstrate cultural competency and the ability to work with diverse populations
- US healthcare or US insurance experience or familiarity is highly preferred
- Experience working with EHR/EMR systems is nice to have
- Knowledge or training of HIPAA regulations and confidentiality is nice to have.
- General billing or invoicing experience highly preferred
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Revenue Cycle Management:
- Verify client insurance eligibility, benefits, and coverage
- Submit and manage insurance and EAP claims
- Process client payments and apply to appropriate dates of service (Ritten experience is a plus, and training will be provided!)
- Generate and distribute client invoices, superbills, and receipts
Electronic Health Record Maintenance:
- Audit billing components of client charts for accuracy
- Maintain accurate billing documentation and records within the EHR system
Client and Staff Support:
- Support the management of the billing specialist’s Gmail inbox
- Respond promptly and professionally to billing-related inquiries from clients and staff as needed to support the Billing Manager
Process Documentation & Improvement
- Assist the team in developing, updating, and maintaining billing SOPs and process documentation
- Document billing workflows, procedures, and best practices to support consistency and efficiency
- Identify process gaps and contribute to continuous improvement initiatives within the billing department
Compliance and Privacy:
- Maintain strict adherence to HIPAA guidelines and client confidentiality protocols
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):
These tasks are valuable but can be trained on the job:
- Learn medical billing within a healthcare practice or organization
- Work in a healthcare setting and be familiar with healthcare workflows
- Assist with insurance claim follow-ups and resolution of billing-related issues
- Support the review and management of claim denials and reimbursement discrepancies
- Assist with payment posting and other revenue cycle management activities
- Learn practice-specific billing systems, processes, and workflows during onboarding
- Gain proficiency in additional communication and operational tools used by the team
Systems & Tools:
- Google Workspace (Docs, Sheets, Gmail, etc.)
- Healthcare billing systems
- Ritten (training provided)
- RingCentral (training provided)
- Ability to follow established SOPs, workflows, and documentation processes
