Role Overview: 

We are looking for a detail-oriented and dependable Virtual Assistant to support Ryan with both administrative and light customer service responsibilities. This role requires someone who is tech-savvy, communicative, and comfortable working in a fast-paced environment.


Requirements:

  • Full-time (8am-5pm ET, Monday to Friday).
  • Must have project management experience or any similar role
  • Detail-oriented and reliable.
  • EXCELLENT verbal and written communication skills
  • Familiarity with CRM or project management tools (preferably BuilderTrend)
  • Comfortable coordinating with clients and subcontractors


Software tools used by the client:

  • BuilderTrend
  • Plaud Pin
  • Apple Notes


Main Responsibilities:


Project Support

  • Create and manage job folders and project documentation using Apple Notes and BuilderTrend
  • Generate and send project proposals
  • Track project progress, deadlines, and milestones
  • Manage job creation, follow-ups, billing, and job close-outs
  • Coordinate with subcontractors as needed
  • Use tools like Plaud AI (or similar) for transcribing calls and routing them for review/action

Customer Support

  • Communicate with clients to confirm project start dates and access details
  • Provide light customer service via email or phone as needed
  • Follow up on customer inquiries and assist with job status updates

Executive Assistance

  • Manage Ryan’s calendar, including appointments, estimates, and site visits
  • Organize and monitor Ryan’s email inbox for time-sensitive or actionable items
  • Prepare summaries or task lists based on meetings or call transcriptions
