Client Overview:
Hilary is an amazing coach for high-achieving women and leaders. She is looking for an amazing unicorn to take over administrative tasks so she can stay in her zone of genius!
Client Requirements:
- Must be able to work 9am-5pm Mountain Time (US)
- Must be able to work 40 hours weekly
- Must have extensive experience with executive assistance or any similar role
- Must have EXCELLENT written and verbal communication skills
- Must have EXCELLENT attention to detail
- Must be super organized
- Detail-oriented with a commitment to quality control
- Must be female

Responsibilities/Tasks:
Executive Assistance:
- Own and manage Hilary’s dynamic calendar: schedule meetings, block deep work time, prep materials and call links
- Coordinate travel logistics for events or speaking engagements (flights, lodging, itineraries)
- Send reminders for deliverables, prep times, or meetings Hilary must attend or prepare for
- Capture and track Hilary’s ideas and action steps in ClickUp or Slack
- Receive and input to-dos from Hilary into ClickUp, and coordinate with Destiny as needed
- Track timelines, deliverables, and ensure recurring tasks (weekly check-ins, podcast prep, coaching reminders) are visible and on track
- Monitor and manage Hilary’s inbox daily, keeping it clean, organized, and up-to-date
- Flag urgent items and escalate messages that require Hilary’s direct attention
- Draft, send, and follow up on professional correspondence with clients, partners, and collaborators
- Reconnect with past contacts and follow up on previous meetings (including calls dating back to January)
- Track all outreach efforts and ensure consistent, timely follow-ups
- Ensure Slack messages and calendar invites don’t go unnoticed or overdue
Administrative Support:
- Keep ClickUp updated with Hilary’s tasks, due dates, and relevant status updates
- Follow up with team members or external contacts for updates, deliverables, or materials related to Hilary’s responsibilities
- Help coordinate cross-functional priorities that flow from Hilary into project systems (in partnership with Destiny)
- Maintain and organize Hilary’s digital files, SOPs, media, and documents (Google Drive, Dropbox)
- Support podcast production logistics: scheduling guests, gathering bios/photos, coordinating with producers
- Track Hilary’s marketing to-dos (e.g., video recordings, quotes, interviews) to ensure completion
- Assist with light community management (Mighty Networks) as needed
- Help prepare outlines, scripts, transcripts, or presentation materials when requested
- Support Destiny and the team in staying on track with action items from Hilary
- Assist in documenting or nudging forward projects Hilary oversees, especially when she can’t be in every meeting
