Client Overview:

Dana is an amazing entrepreneur who is passionate about empowering women to embrace their health transitions with grace and vitality. She is looking for an equally amazing unicorn who can help her with administrative tasks and customer support.


Client Requirements:

  • Must be able to work any 8-hour block with a 1-hour overlap between 6am and 3pm Pacific Time (US)
  • Must be able to work 40 hours weekly
  • Must have experience with customer service, administrative support, or any similar role
  • Must have EXCELLENT written and verbal communication skills
  • Must have basic project management skills
  • Must have EXCELLENT attention to detail
  • Must be super organized 
  • Detail-oriented with a commitment to quality control
  • Must be able to learn new tools quickly 
  • Nice to have: experience working with Simplero or any similar course hosting platforms)


Software tools used by the client:

  • Airtable
  • Notion
  • Google Suite
  • Simplero or similar course platforms


Responsibilities/Tasks:


Client Support & Customer Service

  • Communicate with clients
  • Assist with all client-related email correspondence.
  • Ensure customers feel supported and taken care of at every touchpoint.
  • Manage and moderate the customer community, including posting weekly questions, engaging with members, and monitoring interactions.


Administrative Support, Task Management, and Data Entry

  • Review incoming order form submissions.
  • Confirm product availability and check for price updates before processing.
  • Generate and send client invoices.
  • Track invoice payments and finalize orders (“fill the carts”).
  • Enter and manage client bloodwork information in spreadsheets.
  • Navigate and manage tasks within Simplero (or similar course hosting platforms).
  • Support client-facing program operations and backend processes.
  • Assist with small project management tasks to keep workflows streamlined.
  • Maintain organized records and documents in Notion and Airtable.


Nice to have and can be developed overtime:

  • Researching and identifying podcast interview opportunities.
  • Assisting in creating PDFs or simple content for lessons.
  • Supporting the search and outreach for speaking opportunities (process provided).
