Role Overview: 

We are looking for a detail-oriented and dependable Virtual Assistant to support Kristina with project management. This role requires someone who is tech-savvy, communicative, and comfortable working in a fast-paced environment.


Requirements:

  • Full-time (8am-5pm ET, Monday to Friday).
  • Must have project management experience or any similar role
  • Familiarity with CRM or project management tools (preferably Jobber)
  • Detail-oriented and reliable.
  • EXCELLENT verbal and written communication skills
  • Comfortable coordinating with clients and subcontractors


Software tools used by the client:

  • Jobber
  • Microsoft Office Suite
  • QuickBooks


Main Responsibilities:



Project Support:

  • Manage schedules, meetings, and team assignments.
  • Monitor calendars and emails for requests, scheduling needs, and project communications.
  • Update Project Management software (Jobber) with new jobs, assignments, deadlines, and status indicators.
  • Track and adjust schedules as needed to keep projects and deliverables on time.
  • Coordinate assignments and day-to-day progress updates with the team.
  • Monitor project progress, deadlines, and milestones to ensure jobs stay on track.
  • Ensure all company standards and safety protocols are followed.


Client & Team Communication

  • Communicate with clients and team members to provide updates, answer questions, and address issues.
  • Send clients regular updates
  • Help problem-solve challenges and, when necessary, support field operations directly.


Documentation & Tools

  • Manage job folders and project documentation
  • Ensure all protocols, standards, and project paperwork are completed before job closure.


Billing & Invoicing

  • Reconcile invoices against tickets and receipts
  • Track job status and update project lists to reflect billing and closure status.
  • Ensure financial records are accurate and up to date.
