Client Overview:
Amy is an incredible lawyer and teacher who has an equally incredible admin assistant Christina. Christina will be doing all the business development work soon, so Amy is looking for an awesome unicorn who can help her with administrative tasks.
Client Requirements:
- Must be able to work 20 hours weekly
- Must be able to work any 4 hours between 10am and 7pm Eastern Time (US)
- Must have strong written and verbal communication
- Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
- Must be comfortable supporting 2 people (Amy and Christina)
- Experience working with lawyers before is nice to have
- Experience with trust accounting is nice to have
- Experience doing paralegal work is nice to have
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Executive Support:
- Monitor Amy’s email daily
- Flag important items and decisions as they arise

Respond to emails on Amy’s behalf (including email acknowledgement and email follow-up)
- Notify Amy immediately if something urgent requires attention
- Manage Amy’s calendar
- Schedule and coordinate meetings
- Ensure calendar aligns with priorities and deadlines
- Take notes during meetings and Google Chat conversations
- Capture action items and commitments
- Follow up with Amy to ensure tasks are completed and priorities stays on track
- Communicate updates and track follow-through from meetings
- Attend weekly check-in call with Christina
Administrative Support:
- Enter Amy’s billable hours into Clio (client is willing to train)
- Generate and send invoices to clients
- Review intake submissions and forward intake information to Amy
- Coordinate and schedule intake meetings
- Standardize file naming conventions
- Organize folders and digital records
- Clean up Amy’s Google Drive and keep it organized

Maintain organization within Monday.com
- Track bill due dates
- Ensure bills are paid on time
- Assist Amy with grading for her teaching position
- Communicate with clients
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):
These tasks are valuable but can be trained on the job:
- Provide paralegal support
- Upload statements into Amy’s personal QuickBooks file
- Enter transactions into Quickbooks
- Assist with reconciliations
- Categorize and organize financial records (Bookkeeping experience preferred but not required)
- Schedule social media posts (experience with Canva is nice to have, but not required)
