Client Overview:

Cynthia is a mortgage financing specialist, and she is looking for an amazing unicorn who can help her with administrative and lead management tasks.


Client Requirements:

  • Must be able to work 40 hours weekly
  • Must be able to work 11am to 7pm Pacific Time (US)
  • Must have strong written and verbal communication skills, and can communicate clearly, directly, and effectively
  • Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
  • Must be a collaborative team player with a fun, positive attitude.


Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


Administrative and CRM Support:

  • Update CRM records and referral tracking systems
  • Assist with scheduling, calendar management, and reminders
  • Prepare files and documents for lead follow-up or loan processing
  • Handle email communication related to leads and administrative tasks
  • Support general administrative duties as needed


Lead Management, Communication, and Follow-Up:

  • Manage incoming leads from realtors and other referral partners
  • Track and update lead information in CRM systems such as Follow Up Boss
  • Make notes of all conversations, emails, and interactions in the CRM
  • Automate follow-up processes where possible to ensure timely communication
  • Monitor group texts and messaging threads
  • Energize and motivate buyers to engage in conversations and submit necessary documents for loan approval
  • Coordinate with agents and internal team to ensure leads are consistently tracked and updated
  • Maintain professional, clear, and engaging communication with leads, agents, and internal team
  • Follow the client’s established protocols for responding to inquiries and updates


Nice-to-Have Experience (Responsibilities You Can Learn Over Time):


These tasks are valuable but can be trained on the job:

  • Be able to securely access the client’s systems, including POS and loan operating system (LOS)
  • Upload and organize documents within the LOS, with training on how to categorize and file them correctly
  • Assist with marketing tasks such as creating flyers, co-marketing materials, and social media posts
  • Support with sending postcards or mailers using services like SendOutCards
  • Learn other administrative tasks as needed to support lead follow-up and client communication
