Client Overview:
Bryan is the owner of a super amazing company that provides IT consulting services. He is looking for an awesome and proactive unicorn who can help with calendaring, social media, and daily administrative tasks.
Client Requirements:
- Must be able to work 20 hours weekly, with the potential to increase to 40 hours per week if everything goes well!
- Must be able to work any fixed 4-hour block between 6:30 am and 2:30pm Mountain Time (US)
- Must have strong written and verbal communication
- Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
- Must be tech-savvy
- Must be assertive and must be comfortable speaking up if you need something
- Must be able to own tasks in an autonomous manner.
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Administrative and Executive Support:
- Manage Bryan’s calendar and make sure he won’t miss any meetings, sales calls, appointments, etc,
- Set up meetings with potential leads upon request
- Remind Bryan via ClickUp/Slack when he has meetings
- Manage and organize Bryan’s inbox and Google Drive
- Respond to emails occasionally
- Assist the accounting team with administrative tasks including:
- Creating and sending invoices
- Following up with clients on unpaid or overdue invoices
- Assist with collecting and tracking timesheets
- Tracking and booking expenses
- Calling vendors
- Coordinating shipments
Social Media and Sales Support:
- Support internal sales and outreach initiatives
- Curate and organize lists
- Conduct initial outreach to potential clients
- Draft and send first-touch cold email campaigns
- Track outreach efforts and responses
- Assist with LinkedIn outreach and engagement activities
- Manage Bryan’s LinkedIn and Instagram accounts
- Create a content calendar and brainstorm ideas to come up with. Work with Bryan proactively during weekly marketing meetings on content to provide or ideas.
- Create LinkedIn and Instagram social media posts
- Use Apollo (or similar platforms) to find and create lead lists that Bryan identifies (if you have spare time, ask for potential lead ideas)
- Help Bryan prep welcome packages and on-boarding boxes to new clients.
Nice-to-Have Experience (Responsibility You Can Learn Over Time):
This task is valuable but can be trained on the job:
- Make sure work and activities are properly logged and completed within the VCISO software platform (this is a pretty simplistic application to track client deliverables for a specific product which will eventually be client-facing. It's a compliance management system that Bryan created)
