Client Overview:

Debbie is the CEO of a huge real estate firm and she is looking for an awesome unicorn who can help her with email management and other administrative tasks. 


Client Requirements:

  • Must be able to work 40 hours weekly
  • Must be able to work 6am to 2pm Mountain Time (US)
  • Must have strong written and verbal communication
  • Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
  • Must be industrious, ambitious, and gracious
  • Knowledge, familiarity, or experience around property management is a plus!


Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


Executive and Administrative Support:

  • Triage emails, draft responses, and flag items needing Debbie’s attention (Debbie uses Google Suite)
  • Ensure Debbie never misses time-sensitive or critical emails
  • Manage scheduling, ensure calendar integrity, and capture action items during meetings.
  • Pull data across various departments to update the weekly L10 scorecard. 
  • Support Debbie’s Head of Maintenance and Construction with administrative tasks such as:
  • Ensuring contracts are properly completed and formatted
  • Sending contracts for e-signature and track completion
  • Following up on missing documentation or incomplete submissions
  • Handle technical admin tasks such as Google Workspace administration and mobile device management for employee phones.


Client and Culture Care:

  • Send out surveys, track responses, and manage follow-ups
  • Respond to customer inquiries
  • Help track and post "Stories of Enrichment" for employees, tenants, and vendors.
  • Manage and schedule monthly birthday and anniversary messaging/gifts for the team and partners.


Nice-to-Have Experience (Responsibilities You Can Learn Over Time):


These tasks are valuable but can be trained on the job:

  • Leasing prospecting support
  • Invoicing assistance
