Client Overview:

Elissa is an amazing coach and she is looking for an equally amazing unicorn who can support her with various marketing and operations tasks. She has comprehensive processes documented, but she needs you to implement them based on SOPs.


Client Requirements:

  • Must be able to work 20 hours weekly
  • Must be able to work 8am-12pm Pacific Time (US)
  • Must have strong written and verbal communication
  • Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
  • Must be process-driven
  • Must be able to see the big picture, and identify areas of improvement (ex: what we’re missing, what needs to be shared with the team, what could we be considering)
  • Must care about helping others
  • Must be a problem solver with a desire to research and present options for solutions 
  • Must be able to provide exceptional customer service
  • Must be great with technology
  • Must be able to work well with a small, diverse team of contractors


Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


Operations Support:

  • Serve as Producer for live sessions, including monthly 45-minute preview sessions and two (2) monthly SIC Membership sessions
  • Issue ICF CCE credentials to participants upon completion of programs and workshops
  • Draft two (2) presentation decks per month and production agendas for SIC sessions (Elissa has templates already drafted, you will just align the content and update the guests so they are ready for the facilitator and content manager)
  • Support overall program management for C2C, S4S, and SIC programs


Marketing Support:

  • Update website with new program and session dates and links
  • Perform quality assurance on marketing materials (social, print, website)
  • Update HubSpot landing pages, lead generation downloads, and workflow emails with provided content (you don’t need to be an expert in HubSpot, but  having experience using HubSpot specifically for workflows, landing pages, forms, and emails would be very helpful and will allow Elissa’s Marketing Manager to hand off implementation with guidance)


Nice-to-Have Experience (Responsibilities You Can Learn Over Time):


These tasks are valuable but can be trained on the job:


Executive Support:

  • Monitor, manage, and respond to emails  
  • Draft client communications for review using the Elissa’s custom AI
  • Apply standard messaging logic to LinkedIn responses with support from Elissa


Administrative Support:

  • Act as Backup Producer for programs and workshops (C2C & S4S)
  • Manage assigned Trello boards with accuracy and timeliness
  • Navigate updates, cloning, and content management within the LMS platform (LearnWorlds)
  • Maintain and update internal process documentation and operating manuals
  • Join monthly Team Meetings and Quarterly Business Review (QBR) meetings
  • Attend Content & Marketing meetings as needed
  • Manage annual holiday cards and gift coordination
  • Provide general operational support as the business evolves
  • Support Hudson Phoenix Area Community calendaring and communications
