Client Overview:
Shelby specializes in helping patients understand their insurance benefits and billing, making complex processes simple and approachable. She is looking for a unicorn to help her with administrative and billing tasks.
Client Requirements:
- Must be able to work 20 hours weekly, with the potential for increased hours over time
- Must be able to work any 4-hour block between 8am to 5pm Pacific Time (US)
- Must have strong English communication skills (written and verbal)
- Must be comfortable calling insurance companies.
- Must be highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
- Must be highly dependable, highly motivated, trustworthy, proactive, and solution-oriented
- Must love learning
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Insurance Verification & Follow-Up:
- Contact insurance companies online through the EHR system and by phone to verify coverage, benefits, and claim status
- Conduct follow-up calls regarding outstanding claims and insurance-related inquiries
- Learn and understand insurance benefits and terminology including deductibles, coinsurance, allowed amounts, and copays (Shelby will provide training)
- Learn about the charges and how to calculate how much a patient should pay or be credited after hearing back from the insurance company
- Document call outcomes and update records accurately based on provided instructions
Billing Support:
- Assist with billing-related administrative tasks and maintain accurate records
- Follow provided spreadsheets, notes, and instructions to complete billing and insurance-related follow-up tasks
- Contact insurance companies using provided information and call guidelines to obtain updates and resolve outstanding issues
- Review insurance payments and help ensure charges are processed correctly
- Support the tracking and resolution of billing discrepancies as needed
- Review the aging report and contact the insurance company to find out why they haven’t responded if over 45 days
Data Entry & Record Management:
- Enter and maintain accurate client, insurance, and billing information within company systems
- Update spreadsheets, records, and documentation with a high level of accuracy
- Organize and maintain administrative data to support efficient operations
Payment Reconciliation & Account Review:
- Match insurance payments to corresponding charges within the system
- Assist in identifying patient balances and determining financial responsibility
- Review payment activity and support reconciliation processes to ensure account accuracy
