About the Role:
We’re looking for someone to help filter leads, sort bid invites, perform takeoffs (measure materials and labor needed), create project estimates, send quotes, and support the Sales & Operations team. You’ll work with software to analyze data, forecast costs, and track project details. You’ll also be the go-to person for submitting and tracking RFIs (Requests for Information) as part of the bidding process.
Requirements:
- Able to work Monday–Friday, 8am–5pm ET (40 hours/week).
- Minimum 3 years of related experience or relevant coursework in construction estimating.
- Skilled in Takeoff Software such as Planswift (experience with Bluebeam, Stack Estimating a plus).
- Proficient in Construction Bidding Platforms (BuildingConnected, PlanHub, Procore, Construct Connect, Buildertrend, etc.).
- Experienced with Google Suite (Docs, Sheets, Calendar), Slack, and ClickUp.
- Experience with a CRM (HubSpot or similar), including bid and sales tracking.
- Excellent written and verbal communication skills.
- Strong attention to detail, organization, and documentation practices.

- Familiarity with Microsoft Outlook for email and calendar management is desirable.
Software tools used by the client:

What You’ll Do:
- Review and prioritize incoming bid invitations.
- Support the team in deciding which projects to pursue.
- Set up meetings and site visits before project start, maintain related schedules and deadlines.
- Organize, maintain, and update Google Drive or Microsoft Outlook folders and company bid management emails (Gmail and/or Outlook).
- Extract, organize, and update project scope, specs, drawings, addenda, and related documents, ensuring files reflect all revisions.
- Use construction plans and takeoff software (Planswift, etc.) for accurate material and labor estimates.
- Prepare detailed, competitive estimates and quotes, then send them to clients.
- Track all submitted bids, project contacts, job status, and follow-up schedules for full bid lifecycle management.
- Maintain clear, complete documentation for each project and bid.
- Conduct follow-ups as needed: call or email clients and general contractors to check bid status, negotiate terms (as directed by the owner), and document all communications; provide support to help close projects but do not lead sales.
- Collect feedback from clients and internal teams about reasons for winning or losing bids, and use this data to improve future estimates.
- Assist with regular client and general contractor outreach to maximize bid opportunities and feedback.
- Suggest and help implement workflow and process improvements to increase efficiency.
- Use software tools for data analysis, cost forecasting, and budgeting.
- Support basic calendar and scheduling tasks related to project deadlines, ensuring accuracy in all project documentation.
- Manage RFIs—submit questions and track responses to clarify requirements for each bid and project.
