Client Overview:

Mark is looking for an Executive Assistant to support Ellen, his business partner, with administrative and social media tasks.


Client Requirements:

  • Must be able to work 10 hours weekly
  • Must be able to work any 2-hour block between 9am to 5pm Mountain Time (US)
  • Must have strong written and verbal communication
  • Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently



Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


Executive Assistance and Administrative Support:

  • Manage Ellen’s inbox, prioritize emails, and route important messages to Ellen or Mark for attention.
  • Send follow-up emails to prospects, including Scope of Work or AI Reports.
  • Manage onboarding for new clients, including sending invoices, welcome packets, and shared Drive access.
  • Prepare and send module reports and notes to clients.
  • Send copies of meeting recordings when requested
  • Handle scheduling changes, coordinate meetings, and send confirmations via Google Calendar and Acuity.
  • Prepare agendas, notes, or resources needed for meetings.
  • Sort out leads
  • Manage, onboard, and update clients
  • Make Google Documents pretty and create simple PDF page layouts via Adobe


Social Media Support and Content Creation

  • Create, post, and distribute content across social media platforms.
  • Edit videos as needed
  • Adjust and optimize content for each platform (LinkedIn, YouTube)
  • Manage and organize the social media content calendar.
  • Interact with posts and engage with followers or prospects as needed.


Nice-to-Have Experience (Responsibilities You Can Learn Over Time):


These tasks are valuable but can be trained on the job:

  • Make simple updates and edits to the website as needed.
  • Divi/WordPress Editing- perform basic edits to pages, text, or layout for company websites.
