Client Overview:

Estefania owns a company that specializes in producing doors, windows, cabinetry and moldings. She is looking for an awesome unicorn who can help her with estimating tasks. 


Client Requirements:

  • Must be able to work 20 hours weekly
  • Must be able to work any 4 hours between 6am to 12pm Pacific Time (US)
  • Must have strong written and verbal communication
  • Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
  • Loves learning
  • Someone who is engaged, curious, and is a go-getter.
  • Has architectural or construction design experience
  • Someone who speaks Spanish would be nice to have 
  • Three years of experience
  • Understands cabinetry, doors, windows, and moldings


Responsibilities/Tasks:


Must-Have Experience (Responsibilities You Must Be Proficient In):


These are the tasks the VA needs to handle independently and confidently from day one:


Quote & Estimate Preparation:

  • Review incoming quote requests submitted via email.
  • Analyze project details, specifications, and requirements to prepare accurate estimates.
  • Prepare and deliver project estimates within 24 hours as the company’s standard turnaround time.
  • Ensure estimates include all necessary cost components such as materials, labor, and vendor pricing.
  • Maintain accuracy and attention to detail when calculating project costs.


Vendor Coordination:

  • Call vendors or suppliers to request pricing for materials, equipment, or services needed for estimates.
  • Gather accurate vendor pricing to ensure estimates are complete and up to date.
  • Compare vendor quotes and select the most appropriate pricing for estimates.


Estimating Software & Systems:

  • Use COP estimating software to prepare and manage project estimates (will transition to a new ERP system later. Currently being developed). 
  • Input and maintain accurate data within the company’s systems.


Client Communication:

  • Communicate with clients primarily through email regarding quote requests, estimate details, and project clarifications.
  • Participate in three-way communication with Estefania and clients when necessary to discuss project scope or clarify estimate details.


Nice-to-Have Experience (Responsibilities You Can Learn Over Time):


These tasks are valuable but can be trained on the job:

  • Communicate with clients via phone regarding sales would be amazing, but not required
  • Experience with door, window, and cabinet projects or related construction work is highly desirable.
  • Create CAD drawings using Cabinet Vision and Chief Architect
  • Manage invoices
