Client Overview:

Gry is an amazing coach and she is looking for an equally amazing unicorn who can help her with accounting and administrative tasks so she can stay in her zone of genius. You will record daily expenses and income, follow up with clients who miss payments, and produce clear reports. You will also document workflows and create SOPs so the work is easy to repeat. You will work across two companies, one in Europe and one in the United States, each with its own system. Training will be provided, but you need to enjoy numbers, understand basic accounting, and work well on your own.


Client Requirements:

  • Must be able to work 12:30pm - 4:30pm Oslo time
  • Must be able to work 20 hours weekly, with occasional weekend and overtime work.
  • Must be willing not to take time off during yearly launch windows (in February and September)
  • Must have hands-on experience with accounting or bookkeeping tasks
  • Must have EXCELLENT written and verbal communication skills
  • Must have EXCELLENT attention to detail
  • Must be super organized 
  • Detail-oriented with a commitment to quality control
  • Nice to haves:
  • Experience working across more than one legal entity or currency
  • Basic understanding of digital product sales
  • Experience with tools such as Monday.com, Stripe, Klarna, Tripletex, Xero, or QuickBooks

Responsibilities/Tasks:

Bookkeeping and Accounting (Priority):

  • Record daily expenses in the books for both companies
  • Record all income and reconcile with statements and systems
  • Register client payments and ensure accuracy in records
  • Follow up with clients who miss payments, track promises, and close the loop
  • Reply to and schedule customer emails
  • Prepare weekly and monthly finance reports that are easy to read
  • Keep clean documentation and create SOPs for each recurring task
  • Maintain accurate, on-time records across two systems
  • Reconcile accounts (check inflows and outflows)


Secondary Tasks (Nice to have and can be developed over time):

Administrative Tasks:

  • Upload and organize recordings
  • Ensure coaching calendars are updated
  • Coordinate with hotels to confirm lunches for workshops
  • Support with workshop follow-up tasks


Community Engagement and Client-Related Tasks:

  • Follow up with clients after meetings
  • Follow up to ensure all client questions are answered in Facebook groups
  • Create and manage Facebook group schedules
  • Track and follow up on testimonials
  • Organize accountability groups
  • Daily monitoring of client communications to ensure all questions are answered
