Client Overview:
Bryan is the owner of a super amazing company that provides IT consulting services. He is looking for an awesome and proactive unicorn who can help with managing and optimizing daily operations, client communications, project tracking, and marketing deliverables
Client Requirements:
- Must be able to work 6:30am-2:30pm Mountain Time (US)
- Must be able to work 40 hours weekly
- Must have experience with administrative assistance or any similar role
- Must be tech-savvy
- Must be familiar with automations and CRM management (Bryan uses Clickup)
- Must have great written and verbal communication skills
- Must have EXCELLENT attention to detail
- Must be super organized
- Detail-oriented with a commitment to quality control
- Must be proactive and take initiative
The 4 key things that will make you successful are:
- Proactive - You anticipate needs before they arise. Whether it’s prepping briefing material ahead of a board call or preemptively rescheduling low-priority meetings when priorities shift, you don’t wait to be told. You look at calendars, think critically, recognize patterns, detect risks, and get in front of problems before they happen. You’re two steps ahead of the calendar, the inbox, and the CEO’s thinking.
- Professional - You communicate with polish and purpose. Whether interfacing with clients, external vendors, or internal teams, you consistently represent the CEO with discretion, clarity, and executive presence. You maintain confidentiality without exception and operate with integrity in every interaction; verbal, written, and situational.
- Resourceful - You find answers, unblock yourself, and solve problems creatively, but have the maturity to know when to ask a question or escalate. You know how to get from ambiguity to clarity using Google, reasoning, and smart use of tools (like AI). You don’t escalate issues that can be resolved at your level, and when you do raise flags, you come with options, not just problems. You know how to use Tools available to you – Help Menus, ChatGPT or Gemini, internal resources. You do not default to waiting for instructions or asking questions to get by – you prepare, you research, and escalate when needed.
- Organized (Process Oriented) - You build repeatable systems (or enhance current ones) to reduce chaos and to minimize manual effort. You don’t just keep things “on track”—you create infrastructure around workflows, optimize calendar strategy, and build operational muscle. You love templates, checklists, and automations and you’re always iterating to improve how information, time, and tasks are managed. You work 3 days ahead and know how to handle and communicate a priority list of tasks and projects.

Responsibilities/Tasks:
Executive Support:
- Proactively manage the CEO’s calendar, scheduling, and time prioritization
- Triage and draft responses for CEO’s email inbox
- Prepare meeting agendas, take notes, track action items in ClickUp
- Ensure team members are on track and accountable
- Manage travel bookings and create itineraries when needed
Administrative and Operational Support:
- Keep ClickUp up-to-date and proactively flag deadlines/milestones
- Perform light CRM maintenance and invoice creation (Hubspot, Harvest)
- Help QA deliverables, especially during client onboarding
- Build dashboards and templates for proposals, client reports, and deliverables
- Maintain and update SOPs and internal documentation
- Monitor progress on high-priority initiatives
- Coordinate communication with partners, clients, and vendors
- Conduct research and prepare executive-ready briefs and summaries
- Identify opportunities for automation and implement workflow improvements
Marketing Assistance:
- Draft blog content, social media posts, and marketing collateral
- Use Canva to create documents, one-pagers, and other materials
- Assist with cold emails, outreach, and follow-ups for leads
- Respond to client or prospect messages with polish and speed

- At any time, you can check out the other clients we have and ask to take Paid Tests for them, as well!
