Client Overview:
Grace is an executive coach and a consummate professional. She is looking for a unicorn who can help her with administrative tasks so she can work on her zone of genius!
Client Requirements:
- Must be able to work 4-hour blocks between 9 am-5 pm Eastern Time (US), Monday through Friday
- Starting at 20 hours weekly, with growth-anticipated expansion to 40 hours as the business grows
- Strong written and verbal communication
- Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently.
- Must be consistently reliable and punctual—you do what you say you'll do, when you say you'll do it
- Must be willing to take responsibility for any mistakes (and identify potential solutions)
- Must have utmost professionalism and confidence to speak up with suggestions or concerns
Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Client Experience & Administrative Assistance (Primary Focus):
- Manage calendar and schedule coaching appointments with seamless coordination
- Handle email correspondence with clients and prospects with minimal oversight
- Prepare and update engagement agreements using DocuSign with meticulous attention to current dates and details
- Use Fathom to review coaching session transcripts and organize notes into client-specific folders
- Create branded worksheets and manage client files to deliver a great customer experience
- Send timely client reminders and maintain organized communication systems

Manage invoicing through InvoiceHome.com (you will follow processes for this)
- Create presentations in PowerPoint/Google Slides and branded materials in Canva
Content and Social Media (Secondary Focus):
- Update company website and post content regularly
- Manage and grow social media presence on Instagram and LinkedIn with strategic content calendars
- Execute social media strategy to increase engagement and following (nice to have; you will be executing and implementing the strategy, but you won’t be expected to come up with it)
- Create compelling social media content from articles, coaching sessions, and other materials
- Repurpose long-form content into engaging social media assets
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):
These tasks are valuable but can be trained on the job:
- Edit videos for online program content—creating polished products ready for use (Nice to have and you must be willing to grow your video editing capabilities)
- Proactively identify operational improvements and bring recommendations forward
- Research and implement automation tools to streamline processes
- Create a company "Playbook" documenting best practices as the business grows
- Identify opportunities to improve administrative efficiency
- Suggest ideas for operational and marketing improvements
