Our client is seeking an Assistant Bookkeeper for their Bozeman, MT office. The company specializes in fine art services for both residential and commercial clients, collaborating with private collectors, galleries, museums, and designers within the fine art and design industry. Their goal is to provide exceptional customer service and maintain unwavering integrity in all they do.


The Assistant Bookkeeper will assist the Office Manager with various bookkeeping tasks including accounts payable/receivable, invoicing, data entry, bank reconciliations, and payroll processing. The ideal candidate will also be adept at other administrative tasks (answering phones, customer service, filing, data entry) in order to assist the Office Manager. This role will provide significant on-the-job training and the opportunity to contribute to process improvement. It is an onsite, full time role in Bozeman, Montana with the opportunity for advancement.


Key Responsibilities:

  • Assist with bookkeeping tasks including accounts payable, accounts receivable, and general ledger accounting.
  • Perform bank reconciliations and balance sheet reconciliations to ensure accurate financial reporting.
  • Assist with general office tasks as needed, including answering phone and organizing files.
  • Ensure accurate data entry, maintenance, and organization of data within our clients' database.
  • Accurately maintain multiple Excel spreadsheets for internal use.
  • Assist the Warehouse Manager as needed by tracking inventory, shipping, and receiving.
  • Complete required paperwork and documentation accurately and legibly, which may include work orders, delivery tickets, and condition reports.
  • Provide excellent customer service and courtesy when interacting with new and existing clients, including museums, universities, and private collectors.
  • Adhere to proprietary agreements, such as non-disclosure and confidentiality, to ensure a high level of client security.


Required Qualifications:

  • High school diploma or GED required.
  • Bookkeeping experience and strong familiarity with QuickBooks or similar accounting and invoicing software.
  • Strong experience with software and Microsoft Office applications, especially Excel.
  • Excellent organizational skills and ability to manage multiple tasks and ensure timely task completion.
  • Ability to communicate effectively, clearly, and professionally with clients, team members, and managers.
  • Strong verbal and written communication skills with legible handwriting.
  • Proven ability to learn quickly and adapt to changing assignments, working conditions, and procedures.
  • Strong work ethic and pride in work.
  • Ability to work autonomously and as a team member.
  • Ability to pass a background check.
  • Experience in an office environment that requires a significant amount of detail and precision.


Preferred but Not Required:

  • Strong Excel proficiency including VLOOKUP, PivotTables, and automation tools.
  • Inventory management knowledge a plus.
  • Bachelor’s degree or study in an art-related field.
  • Experience in a museum, gallery, artist studio, or similar environment.
  • Familiarity with standard museum practices, terminology, and art history.
