Essentra Components is hiring an Administrative Assistant to support the Warehouse Manager and other warehouse team members for our facility in Louisville, KY. This individual will coordinate office activities and operations while providing clerical and administrative support to Warehouse management and corporate staff at the facility. This is an onsite position.



Typical Job Duties:



• Coordinate activities for the office and warehouse to ensure efficiency and maintain compliance with company policies.

• Process and reconcile monthly company credit card expenses ensuring proper documentation and coding.

• Assist warehouse with freight invoice management.

• Create and convert purchase orders and purchase requisitions based on business needs.

• Liaison with building landlord and all site vendors.

• Participate in the facilities Safety program.

• Solicit and provide ideas for the elimination of waste, continuous improvement and defect prevention.

• Assist all departments with the general administrative functions, which can include but not limited to, food ordering, meeting set up, activity set up and document retention.

• Manages and promotes site Employee Engagement, Community Service, and Employee Recognition Programs.

• Ensures accurate and timely preparation, receipt and distribution of correspondence, reports, forms, presentations, and other documents as requested.

• Maintain organized processes to ensure timely task completion and communication. 

• Keep an inventory of office supplies and order more supplies as needed.

• Signn for incoming and outgoing packages and route to appropriate party.

• Perform filing, typing and other administrative duties as requested.

• Maintain employee access badge system ensuring that only those authorized have access.

• Responsible for all site-owned IT responsibilities

• Support the off-site Human Resources team by facilitating day-to-day administrative HR activities such as but not limited to, scanning of documents, password resets, new employee orientation, answer basic employee questions. 

• Provide additional administrative support as needed and assigned.



Qualifications:



• At least 3 years of related office administrative experience.

• High School diploma or GED.

• Superior attention to detail. 

• Highly proficient in Microsoft Office Suite, Outlook, Adobe Acrobat, and some proficiency in Visio. 

• Excellent verbal and written communication skills. 

• Clear and professional telephone skills.

• Ability to consistently multi-task. 

• Ability to handle and manage changing priorities.

• Strong organization and teamwork skills.
