The HR Generalist is required to support our Payroll and Personal Administration processes in Milan and Bologna’s site, reporting to the HR Manager. The role will provide a comprehensive HR support service to all employees in the site, specifically focusing on all matters related to payroll admin, time & attendance and other HR administrative tasks to ensure all transactional elements of HR are managed in a timely, accurate and consistent manner.


This is a generalist role, reinforcing HR within the role of line managers as well as providing commercially/market relevant coaching and advice to the site management team.


The role may also work on key HR initiatives and Group projects.


Typical Accountabilities

 

  • Respond to a wide range of internal enquiries, relating to HR issues, in a professional manner, ensuring that internal stakeholders receive timely, accurate and valuable advice.
  • Building trusted relationships with leaders
  • Coordinate through external payroll agency the preparation of elements for monthly pay-run.
  • Control and check monthly basis data accuracy in preparation of Payroll process, and 13th pay-run
  • Manage salary deductions (children, etc.), bank account modifications, personal address, etc.
  • Act as the first point of contact for employees and managers on all labour law, payroll and social security related topics
  • New starter management : offer letter, employment contract, create employee file in HR database and systems
  • Produce ad-hoc personnel certificates, personnel-related documents
  • Maintenance of the time recording system : new user creation, monthly checks, follow-up sickness, absence
  • Preparation of monthly reports (headcount, absence)
  • Monitoring and ensuring compliance with deadlines and time limits
  • Administrative tasks for temporary staff (recruitment / monitoring working hours / invoice control)
  • Proactive management of complex employee relations issues in line with Essentra policies & procedures
  • Support the HR Manager with HR programs and projects as for example pay review, performance review, bonus processes, taking the lead on the administrative aspects of these.
  • Support in the implementation and further development of HR processes
  • Undertake and support HR projects within the business including employee engagement, internal communications, training and development, business development, organisational development and change management
  • Other administrative tasks as required

 

Required Skills & Experience:

  • Bachelor’s Degree 
  • High command of written and spoken English is mandatory, Native or bilingual Italian is a must
  • Experience of working in an operational HR role providing advice and guidance on Italian employment law and HR issues
  • Experience in payroll accounting and HR administration
  • Good knowledge of Italian labour law
  • Use of HR systems and Microsoft Office products
  • Hands-on mentality
  • Good office skills
  • Ability to work on a number of activities simultaneously
  • Ability to work under pressure and to deadlines
  • Confidential and proactive approach to work
  • Excellent attention to detail
  • Ability to prepare and report on sensitive and complex information as required
  • Thorough experience of resolving complex casework problems
  • Strong communication and negotiation skills at all levels


Desirable:

  • Human resources or Enterprise Administration diploma or equivalent
  • Experience working within a complex multi-function business
  • A working knowledge of recruitment and on-boarding processes
  • Strong employee relations background
  • Ability to influence business leaders
  • Experience in time management
