This is a part-time position working 3 days per week - 0.6FTE at our Kidlington office.


The Site Administrator is responsible for ensuring the smooth running of all aspects of the Reception area of the Kidlington site, presenting a professional first image of the company through excellent customer service, as well as managing a range of additional administrative tasks. This role requires excellent organisational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Site Administrator acts as the central point of contact within the office, providing support to various departments and ensuring that administrative activities are carried out efficiently.


Key Responsibilities:


Front Desk Management

Greet and welcome visitors in a professional and friendly manner.

Manage the front desk, ensuring it is tidy and presentable with all necessary materials


Communication

Handling Answer, screen, and forward incoming phone calls.

Handle email correspondence, ensuring timely responses and proper distribution.


Visitor Coordination

Maintain visitor logs and issue visitor badges as needed

Direct visitors to the appropriate person or department


Administrative Support

Perform basic clerical duties such as filing, photocopying

Assist with scheduling appointments and managing meeting room bookings

Sort and distribute daily mail/deliveries


Office Support

Assist with ordering and maintaining office supplies and equipment

Assist with ordering and maintaining uniform and PPE

Support other administrative staff with overflow work, including word processing, data entry, and other ad hoc tasks as needed



Required skills & experience:

  • Previous experience as a receptionist, front office representative, or similar role
  • Technical Skills: Proficiency in MS Office (Word, Excel, Outlook) and familiarity with office equipment
  • Communication Skills: Excellent verbal and written communication skills
  • Customer Service Skills: Strong customer service orientation with the ability to handle difficult situations with tact and professionalism
  • Organisational Skills: Strong organisational and multitasking abilities
  • Interpersonal Skills: Friendly, approachable, and able to work well with others
