Position Title: Contract Administrator

Location: Athabasca Basin, SK | Camp Accommodation and Travel Allowance

Shift Schedule: 2 weeks on, 2 weeks off, 2 travel days

The Opportunity

On a civil construction site, precision matters, not just in the dirt and concrete, but in the paperwork that supports it.


PBN Construction is seeking a site Contract Administrator who understands that strong contract control is the backbone of successful project delivery. In this role, you’ll work at the intersection of operations and finance, ensuring contracts are executed properly, documentation is complete, LEMS are verified, and billing is fully supported.


You’ll collaborate closely with Project Managers, Superintendents, Estimators, and Finance to track labour, equipment, and material costs; support change orders; manage compliance obligations; and maintain organized, audit-ready records.


This is a role for someone who thrives on accuracy, understands commercial risk, and knows that disciplined documentation protects both the project and the company.


Key Responsibilities

As the Contract Administrator, you will work collaboratively and are responsible for:

1. Contract Administration & Compliance

  • Prepare, review, and administer prime contracts, subcontracts, purchase orders, and change orders.
  • Maintain complete and accurate contract files in accordance with company and client requirements.
  • Track contract terms, conditions, insurance, bonding, and compliance obligations.
  • Identify and communicate contractual or commercial risks.

 

2. Labour, Equipment & Material Tracking (LEMS)

  • Collect, review, and compile Labour, Equipment, and Material Summaries (LEMS) from site teams and subcontractors.
  • Verify LEMS submissions for accuracy, completeness, and alignment with approved rates and contract terms.
  • Coordinate with Superintendents, Project Managers, Payroll, and Equipment teams to resolve discrepancies.
  • Maintain organized LEMS records to support billings, audits, and claims.
  • Ensure submissions meet owner, client, and regulatory deadlines.

 

3. Billing, Change Management & Cost Support

  • Prepare progress billings using verified quantities and approved LEMS documentation.
  • Track contract values, change orders, and extra work supported by detailed backup.
  • Support pricing and substantiation of change orders, force account work, and claims.
  • Ensure documentation meets contractual and audit requirements.
  • Provide complete, traceable cost backup for internal and external audits.

 

Qualifications

To be successful in this role, you will bring:

  • Diploma or degree in Construction Management, Engineering, Business Administration, or related field.
  • 3–7 years of experience in contract administration within civil or heavy civil construction.
  • Strong understanding of construction contract types (CCDC, unit rate, lump sum, time & materials).
  • Experience supporting earthworks, roadworks, utilities, or infrastructure projects considered an asset.
  • Strong attention to detail and document control expertise.
  • Solid understanding of construction financials and cost tracking.
  • You are detail-driven, organized, commercially aware, and comfortable operating in a site-based environment where accuracy and accountability are essential.
