Position Title: Operations Administrative Assistant

Location: Saskatoon, SK

Reporting to: Operations Readiness Manager

Opportunity: Monday to Friday - Full Time Contract for 6 months


The Opportunity

Operations teams move quickly. Materials need to arrive on time, contractors need clear direction, purchase orders need to be tracked, and the details behind the scenes need to stay organized so projects can keep moving forward. The Operations Administrative Assistant plays an important role in making that happen.

 

In this role, you will sit at the center of the operations team’s daily activity, helping connect people, information, and processes. You’ll support procurement and contracting requests, track purchase orders and materials deliveries, and help ensure work orders and invoices move smoothly through the system. When the operations team needs information, documentation, or coordination, you help make sure it’s there.

 

Some days may involve coordinating with vendors and contractors to schedule maintenance or deliveries. Other days may focus on organizing procurement records, tracking materials headed to a project site, or supporting the team with documentation that keeps projects aligned and compliant.

 

Key Responsibilities

As the Operations Administrative Assistant, you will work collaboratively and are responsible for:

1. Administrative & Operations Support

  • Provide general administrative support to the Operations and Construction teams.
  • Assist with document preparation, meeting coordination, and administrative follow-up.
  • Maintain organized records of procurement, operational, and project documentation.

 

2. Procurement & Vendor Coordination

  • Assist in initiating procurement and contracting requests.
  • Support preparation of RFP documentation and vendor performance tracking.
  • Expedite and track material orders from vendors through delivery to the warehouse or project site.

 

3. Order Tracking & Documentation

  • Monitor the status of work orders, purchase orders, and invoice payments.
  • Identify and help resolve discrepancies or issues related to procurement or deliveries.
  • Maintain clear tracking of procurement documentation and operational records.

 

4. Contractor & Operations Coordination

  • Coordinate scheduling of contractors for maintenance and operational activities.
  • Assist with gathering cost estimates and identifying timelines for operational tasks.
  • Maintain strong communication with vendors, contractors, and internal teams to support smooth project coordination.

 

Qualifications

To be successful in this role, you will bring:

The Essentials (Hard Skills):

  • 2–5 years of administrative experience, preferably supporting operations, construction, engineering, or maintenance teams.
  • Strong organizational and time-management skills with the ability to manage multiple tasks and priorities.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Strong written and verbal communication skills.
  • Eligibility to work in Canada.

  • Highly organized and detail-oriented with a proactive approach to problem-solving.
  • Professional, dependable, and able to manage confidential information with discretion.
  • Strong interpersonal skills and the ability to build effective working relationships with vendors, contractors, and internal teams.
  • Comfortable working in a dynamic environment where priorities may shift.

 

The Assets (Nice to Have)

  • Post-secondary education in business administration, office administration, or a related field.
  • Experience supporting procurement processes or vendor coordination.
  • Experience with SAP or other enterprise systems.
