The Opportunity

Hughes Collective is looking for a motivated and detail-oriented 4th year student to join our team in a temporary part-time Administrative & Operations Assistant role. This position provides an excellent opportunity to gain hands-on experience in operations within a dynamic, purpose-driven organization. The number of hours per week for this role will depend on the successful candidate and will be discussed to ensure alignment between their schedule and the needs of the business.

 

In this role, you’ll work closely with our Client Experience and Operations Coordinator, taking ownership of a variety of administrative tasks and contributing to the smooth running of our business. We’re looking for someone who is curious, eager to learn, and excited to support the work we do for our clients.

This temporary student role may evolve into additional growth opportunities with the Hughes Collective team, based on demonstrated alignment, performance, and business needs.

 

What You’ll Do

Administrative Support

  • Maintain integrity of our client relationship management (CRM) / applicant tracking system (ATS) by entering and updating client and candidate information, including resume uploads
  • Support contract management, drafting, filing, and document organization across shared systems
  • Upload, format, and organize documents for internal and client use, ensuring clarity and brand alignment
  • Ensure data accuracy and consistency across tools, platforms, and operational processes
  • Provide general administrative support to keep daily operations moving efficiently

Operations & Office Support

  • Coordinate internal logistics such as boardroom bookings, meeting setup, and calendar support
  • Prepare client meeting spaces; from coffee and refreshments to materials and room readiness
  • Complete business errands as needed (mail pickup, courier runs, supplies, etc.)
  • Water plants, maintain office tidiness, and help create a warm, organized, and welcoming environment
  • Manage incoming and outgoing mail and assist with basic office upkeep

Event Support

  • Assist with event preparation, including research, bookings, materials, packing, and day-of setup and take-down
  • Support the coordination of guest lists, schedules, and logistics for internal or client-facing events

Client Experience Support

  • Assist with preparing client deliverables, presentations, and session materials
  • Help create seamless client meeting experiences through thoughtful setup and hospitality
  • Work alongside the Client Experience & Operations Coordinator to deliver polished, consistent, memorable touchpoints

Executive & Leadership Support (Administrative)

  • Provide administrative support to the CEO and Principals, including scheduling coordination, meeting setup, document preparation, and logistics
  • Help organize files, presentations, and materials needed for internal initiatives and client-facing work
  • Ensure leadership is prepared for meetings by coordinating room bookings, arranging refreshments, and setting up materials
  • Support day-to-day operational tasks that help the leadership team stay focused, prepared, and effective

Consulting & Research Exposure

  • Assist on active consulting assignments with foundational research and information gathering
  • Support Associates with preliminary research tasks such as market scans, competitor reviews, and background preparation
  • Contribute to small pieces of client work with guidance, when appropriate

What You Bring

  • Current post-secondary studies in Business, Human Resources, Marketing, or a related discipline with completion expected between April and December of 2026.
  • A high degree of discretion and professionalism; you’ll handle sensitive information with extreme care and confidentiality
  • A willingness to learn new systems, adapt quickly, and grow alongside the businesses
  • Strong writing and formatting skills with an eye for detail and brand alignment
  • Digital fluency in Microsoft Office, e-sign platforms, and shared drive systems
  • A calm, friendly, and composed presence who keeps others grounded
  • A client-centric approach, with a high desire to go above and beyond
  • A love for creating order, anticipating needs, and elevating everyday moments
  • Must be based in Saskatoon and available for occasional on-site/in-office work
