Location: Saskatoon, SK

Reporting to: Leasing and Operations Specialist


Our Client

Our client manages commercial properties and their tenants across Western Canada. The portfolio represents a significant portion of industrial and multi-tenant commercial space, and ownership remains closely involved in how the properties perform. These are active, income-producing assets that require engaged oversight and hands-on management.

An in-house maintenance team and dedicated administrative support allow issues to be addressed promptly and standards to be upheld across the portfolio. The Opportunity

As the Leasing and Property Administrator, you will support the administration of a commercial portfolio while working across leasing, operations, and tenant communication where priorities can shift quickly. You will prepare lease agreements, renewals, and amendments, ensuring all details are accurate before sending them for signature, then tracking and processing them through execution and filing.


You will also coordinate across the business as needed. This may include supporting move-ins and move-outs, assisting with administrative tasks related to maintenance requests, or processing multiple lease agreements at once during busier periods.


This role provides exposure to how leasing, tenant communication, and property operations come together in a commercial environment, and the level of detail required to keep everything running smoothly.


Key Responsibilities

As the Leasing and Property Administrator, you will work collaboratively and be responsible for:

1. Property Management Administration

  • Support the day-to-day administration of a commercial portfolio, ensuring information is accurate, up to date, and easy to access.
  • Maintain files and records, ensuring documentation is accurate, complete, and easily accessible.
  • Assist with reporting, insurance tracking, and project coordination to support ongoing property operations.
  • Coordinate internally across teams to ensure administrative tasks are completed in a timely and organized manner.
  • Respond to shifting priorities, including urgent issues that may require immediate attention and reallocation of focus.

 

2. Accounting & Tenant Support

  • Support accounts receivable processes through tenant follow-ups, notices, and collections tracking.
  • Communicate directly with tenants in a professional and confident manner, including situations that require follow-up on outstanding balances.
  • Handle incoming inquiries and provide backup support for reception as needed, ensuring a high level of responsiveness.
  • Escalate complex or sensitive tenant situations appropriately while maintaining accountability for follow-through.


3. Lease & Contract Administration

  • Prepare and process lease documentation including offers, renewals, amendments, and summaries.
  • Ensure accuracy and completeness of all leasing documents prior to execution and distribution.
  • Maintain organized records and ensure all documentation is properly tracked and filed.
  • Work closely with the leasing team to translate negotiated deal terms into formal agreements.

 

4. Maintenance & Office Support

  • Provide occasional support to the maintenance function, including assisting with work orders or purchase orders when required.
  • Assist with general administrative tasks and provide reception coverage as needed.


Qualifications

As the Leasing and Property Administrator, you will possess the following qualities:

The Essentials (Hard Skills):

  • Experience in an administrative, coordination, or support role within property management, real estate, legal, or a related environment.
  • Exposure to lease documentation, contracts, or structured documentation processes.
  • Comfort working with accounting systems and supporting collections processes, Yardi experience considered an asset.
  • Strong proficiency in Microsoft Office, particularly Word and Excel.
  • High attention to detail with the ability to manage multiple tasks and deadlines simultaneously.

  • Strong communicator who is comfortable interacting with tenants, including in situations that may require firmness or follow-up.

  • Proactive, reliable, and accountable, with a strong sense of ownership over work.
  • Adaptable and open to learning, with the ability to pick up new processes quickly and apply them in practice.
