The Opportunity

As the Administrative Assistant, you are the backbone of the firm, the hidden force, the engine that keeps everything moving. Working behind the scenes, you make sure every document is polished, the deadlines are met, and systems are running smoothly. Lawyers can push harder, deliver faster, and focus deeper because you’ve built the structure that holds it all together.

Key Responsibilities

As the Administrative Assistant, you will work collaboratively and are responsible for: 

Administrative Support 

  • Prepare, edit, and format contracts, pleadings and correspondence with accuracy and attention to detail.  
  • Maintain digital files across multiple jurisdictions, ensuring a seamless paperless workflow. 
  • Track deadlines and manage bring-forward systems to keep files moving.  
  • Manage billing, time entry, and expense reporting. 
  • Support case preparation by compiling and organizing large datasets and document packages. 
  • Assist with calendar management and task coordination as required. 

Technology & Process Innovation 

  • Leverage office software and AI tools (e.g., Copilot, ChatGPT) to increase efficiency. 
  • Identify opportunities to automate routine tasks and implement solutions that save time and reduce errors. 
  • Document processes and procedures to build a clear playbook for future staff. 

Operational Excellence 

  • Anticipate needs and take initiative to solve problems before they become bottlenecks. 
  • Adhere and maintain confidentiality and professionalism in all tasks. 
  • Contribute to a culture of continuous improvement by sharing ideas and testing new approaches. 


Qualifications

As the Administrative Assistant, you will possess the following qualities: 

The Essentials (Hard Skills): 

  • Minimum 3 years of experience in administration, office management, or a related role; legal background is an asset but not required. 
  • Strong proficiency with Microsoft Office Suite, comfortable with AI tools such as Copilot or ChatGPT. 
  • Ability to create, implement, and document efficient processes and workflows. 
  • Highly organized with a proven ability to manage competing deadlines in a fast-paced setting.
