Position Summary
The Chief Operating Officer (COO) is responsible for ensuring EveryMind has the financial strength, infrastructure, technology, systems, and operational discipline to achieve its mission. Reporting to the CEO and serving as a key Leadership Team member, the COO provides both enterprise leadership and hands-on management across finance, information technology, and operations. This role requires a highly engaged executive to think strategically about EveryMind’s operational evolution while also willing to engage with details, solve problems, manage priorities, and ensure that essential functions operate effectively.
EveryMind has grown rapidly in recent years, with its operating budget increasing from $7 million to $20 million in the past five years. As the organization has expanded, the need for stronger systems, infrastructure, financial analysis, and operational discipline has accelerated. The COO will lead this next stage of organizational development, strengthening the foundation that supports EveryMind today while designing and implementing the systems and approaches needed to position the organization for future growth and opportunity.
The COO will translate EveryMind’s strategy into effective execution, leading resource planning, financial stewardship, technology, organizational performance, risk management, compliance, facilities, and administrative operations. The COO will bring an enterprise-wide, forward-looking perspective while staying close to the work, identifying challenges, and driving critical initiatives forward. Success will require the ability to move between long-term strategy and day-to-day execution, balancing immediate needs with opportunities to improve how EveryMind works.
The COO leads a 12-person team across finance and accounting, information technology, facilities and administrative operations, risk management, and compliance. The COO supervises three direct reports: the Director of Finance, Manager of Operations, and part-time Manager of IT, and oversees the organization’s outsourced IT firm. The COO also serves as a key liaison to the Board of Directors’ Finance and Audit Committees.
The ideal candidate is a builder: a positive, forward-focused leader ready to design and implement an integrated, continuously improving operational structure. They will bring financial fluency, a systems orientation, strong change management skills, and the ability to translate enterprise-level strategy into practical decisions and action. Equally important, they will be an accessible and engaged manager who builds an inclusive team culture, fosters cross-departmental collaboration, establishes clear accountability, and is comfortable stepping into the details when the organization needs hands-on leadership. This combination of strategic vision and operational rigor will be essential as EveryMind enters its next chapter.
Key Responsibilities
Executive Leadership
- Balance strategic growth with oversight of day-to-day financial, technology, and operational functions.
- Partner with the Leadership Team to establish performance measures and dashboards and ensure the systems, data, and reporting needed to monitor them.
- Design and implement systems and structures to strengthen departmental collaboration.
- Effectively communicate operational and financial priorities across various departments.
- Supervise and mentor direct reports, ensuring clear roles, responsibilities, and alignment within finance, operations, and IT teams.
- Assess capabilities and needs across operations functions to develop multi-year staffing plans, including opportunities to centralize, outsource, expand, or redesign capabilities.
- Collaborate with the Leadership Team on a strategic approach to data collection and analysis, including owning relevant systems, software, and infrastructure improvements.
Departmental Leadership: Finance
- Oversee finance with visibility into financial position, systems, controls, and reporting.
- In partnership with the Director of Finance, strengthen finance and accounting policies, controls, and compliance systems.
- Monitor overall financial functions to ensure that accounting, reconciliations, billing and collection, internal controls, and taxes are organized, accurate, and audit-ready.
- Direct annual budgeting and oversee the multi-year financial projections to prepare for strategic priorities and organizational growth.
- Ensure timely, accurate, and forward-looking financial reporting and analysis to support executive and Board decision-making.
- Oversee finance-related vendors, including auditors and banking professionals.
- Liaise with the Board’s Finance and Audit Committees with financial updates, risk analysis, and forecasts. Attend Board and Executive Committee meetings.
Departmental Leadership: Information Technology
- Direct IT strategy, including supervising a part-time IT Manager and outsourced IT firm, so systems, software, databases, and infrastructure are updated, reliable, and secure.
- Oversee enterprise technology solutions including hardware, software, website hosting, data management, cybersecurity, and network services.
- Lead departments to adopt protocols and policies that ensure operational systems reflect the organization’s maturity.
- Ensure robust business continuity, disaster recovery, cybersecurity, and technology risk management capabilities.
Departmental Leadership: Operations, Facilities, & Risk Management
- Oversee and provide support to facilities, administrative services, procurement, and operational functions; supervise Manager of Operations.
- Standardize, establish, streamline, and implement policies, procedures, and protocols that promote efficacy and efficiency across departments.
- Oversee capital improvement planning, including renovation, construction, and capital expense management.
- Lead facilities-related relationships, including landlords, contractors, vendors, and relevant government agencies.
- Ensure adequate risk management policies and compliance with applicable legal, regulatory, and contractual requirements.
- Direct insurance, business continuity planning, incident management, and operational risk mitigation.
Experience, Skills, and Qualities
The COO position requires a diverse set of skills and experiences. While we understand that no single candidate can possess every qualification listed below, the following are priority areas:

Mission-Driven Leadership. Experience in a nonprofit or mission-driven environment. Passion for expanding access to mental and behavioral health services. Work history in matrixed and/or rapidly scaling environments is preferred.

Financial Fluency & Stewardship. Strong command of nonprofit financial management in an organization with multiple restricted funding streams. Able to engage credibly in financial strategy, understand tradeoffs, and translate financial direction into organizational priorities and execution. A CPA is not required.

Enterprise Leadership & Infrastructure Building. Significant experience across operations, finance, administration, or organizational infrastructure. Demonstrated success building or transforming systems, processes, and cross-functional capabilities.

Technology & Digital Enablement. A strategic understanding of how technology, data, and digital tools can strengthen organizational effectiveness. A tech-forward approach to setting priorities and investments in systems and platforms, including responsibly leveraging emerging technologies.

Hands-On Operational Leadership. Demonstrated ability to manage both the strategic and practical dimensions of organizational operations. Able to get into the details, solve problems, manage competing priorities, and ensure critical functions are executed effectively. Knows when to delegate and when direct involvement is needed.

Systems & Cross-Functional Leadership. Understands how finance, operations, technology, data, compliance, and risk work together to support people, programs, fundraising, and organizational strategy.

Organizational Scale & Complexity. Experience leading operational functions in an organization of meaningful scale and complexity, ideally involving multiple programs, locations, funding streams, regulatory requirements, and stakeholder groups.

Change Leadership & Capacity Building. A thoughtful change leader who listens first, builds trust, identifies what should be preserved and what needs to evolve, and engages people in creating stronger ways of working. Demonstrated success leading significant organizational change and building capacity in resource-conscious environments.

Relational Leadership & Emotional Intelligence. Leads with integrity, cultural sensitivity, and self-awareness and builds trust across differences. An effective listener and communicator who can engage and influence staff, Board members, partners, and other stakeholders while navigating complexity with sound judgment and diplomacy.
Compensation
The starting salary range for this position is $210,000 to $220,000 with a generous benefits package including health, dental, and vision insurance, matched retirement savings, and PTO.
Working Location
This position has a hybrid work schedule. Although the position offers flexible work arrangements, this role includes organization-wide leadership responsibilities and direct oversight of teams based at EveryMind’s headquarters in Rockville, MD. The COO should expect weekly engagement at headquarters to support staff leadership and collaboration. The COO is expected to maintain a visible and engaged presence across the organization.
