The Role

An established organization is seeking an experienced Executive Assistant to provide high-level administrative and office support to senior leadership. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced office environment, demonstrates strong judgment, and is confident supporting executive-level operations. The successful candidate will be highly organized, adaptable, and comfortable handling confidential information with discretion.


Responsibilities

  • Provide comprehensive administrative support to senior leadership, including document preparation, correspondence, scheduling, research, reporting, and database management.
  • Manage calendars, meetings, emails, phone calls, mail, and day-to-day office logistics.
  • Oversee office operations such as supplies, filing systems, vendor coordination, and general administrative processes.
  • Coordinate meetings, including preparing agendas, managing materials, controlling information flow, and ensuring all logistical arrangements are in place.
  • Organize and maintain both physical and digital records in accordance with record retention and compliance requirements, including coordinating archiving and secure destruction of records.
  • Support education and training coordination, including registrations, renewals, and record maintenance.
  • Assist with year-end and cyclical administrative tasks such as scheduling, appointments, and large-scale mailouts.
  • Provide financial and bookkeeping support, including invoice processing, expense reports, purchase requisitions, payroll backup, and tracking financial notifications.
  • Provide backup support to other administrative or operational roles as required.


Requirements

  • Minimum of 4 years’ experience in an administrative or executive support role reporting directly to senior leadership.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Strong problem-solving and analytical skills, with a proactive approach to identifying and resolving issues.
  • Comfortable working in a dynamic, fast-paced environment with changing priorities.
  • High level of technical proficiency, including Microsoft Office 365 and accounting or bookkeeping software (e.g., QuickBooks), with the ability to quickly learn new systems and tools.
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential and sensitive information.
  • Experience with project coordination, financial administration, or benefits-related administration is considered an asset.
  • Relevant certifications or designations (or progress toward them) are considered an asset.
