The Role
Our client is seeking an experienced Construction Proposal Specialist to lead the development of high-quality proposals while supporting the organization's marketing and business development initiatives. This role is responsible for managing the full proposal lifecycle. From opportunity identification and strategy through writing, design, and submission, while ensuring all deliverables are compelling, accurate, and completed on time.
The successful candidate will work closely with estimating, project management, executive leadership, and other internal stakeholders to develop winning proposals, improve proposal systems and processes, and strengthen the company's brand through professional marketing materials.
Responsibilities
- Lead the end-to-end preparation of proposals, RFPs, RFQs, and EOIs from initial review through final submission.
- Develop proposal strategies in collaboration with estimating, operations, project management, and senior leadership.
- Translate complex construction and technical information into clear, persuasive, client-focused proposal content.
- Write, edit, and proofread executive summaries, project descriptions, methodologies, team qualifications, and other proposal content.
- Design professional proposal documents and marketing collateral using Adobe Creative Suite, Canva, and other design platforms.
- Coordinate proposal schedules, gather content from internal teams and external partners, and ensure deadlines are consistently met.
- Manage the proposal pipeline, track new bid opportunities, and oversee the pursuit intake process.
- Build, maintain, and continuously improve proposal libraries, templates, resumes, project profiles, and reusable content.
- Develop and maintain proposal reporting, including pipeline tracking, KPIs, and win/loss analysis.
- Identify opportunities to improve proposal workflows through process enhancements, automation, and AI-enabled tools.
- Create and maintain marketing materials including brochures, presentations, case studies, client testimonials, and website content.
- Support ongoing brand consistency across proposals, marketing materials, and digital platforms.
Requirements
- Minimum three years of experience in proposal coordination, proposal management, marketing, or a related role.
- Previous experience within the construction, engineering, architecture, or AEC industry is strongly preferred.
- Post-secondary education in Marketing, Communications, Graphic Design, Business, or a related field.
- Demonstrated experience producing professional, visually engaging proposal and marketing materials.
- Advanced proficiency with Adobe Creative Suite, including InDesign, Illustrator, and Photoshop.
- Exceptional writing, editing, proofreading, and document formatting skills with strong attention to detail.
- Proven ability to manage multiple proposals and competing deadlines in a fast-paced environment.
- Strong proficiency with Microsoft Office, including Word, Excel, PowerPoint, and SharePoint.
- Excellent communication and stakeholder management skills with the ability to collaborate effectively across multiple departments and senior leadership teams.
- Experience with public-sector procurement processes, Design-Build projects, and preparing technical proposal narratives is considered a strong asset.
- Familiarity with AI-enabled productivity tools such as ChatGPT, Copilot, or Claude, along with CRM platforms and proposal management systems, is considered an asset.
- Experience coordinating project photography, digital assets, or media libraries is beneficial but not required.
